3 P o s i t i o n D e s c r i p t i o n 1.0 Characteristics Employees at this level may exercise managerial responsibility, work independently as specialists or may work as a senior member of a single discipline project team. They will also provide specialist support to a range of programs or activities. They will undertake responsibility for decision making in a particular work area. Uniting Church (Victoria and Tasmania) is currently in the process of merging Prahran Mission and 21 other Uniting Care agencies into one agency named Uniting. This is a large transformation project that will result in 22 agencies in Victoria and Tasmania operating under a single Board of governance and Chief Executive Officer. The transition includes a significant focus on preparing and effectively moving specific community services across to the National Disability Insurance Scheme (NDIS). The NDIS is the new way of providing individualised support for people with disability, their families and carers. The NDIS is designed to give peace of mind, providing eligible people a flexible, whole-of-life approach to the support needed to pursue their goals and aspirations and participate in daily life. 2.0 Key Responsibilities This job will be responsible for undertaking projects involving the use of analytical skills. It would perform specialized functions to achieve results in line with Prahran Mission s goals. Planning, directing, evaluating operations of specialised nature, developing work practices and procedures are some other responsibilities. In addition, providing support to a range of programs, controlling and coordinating projects, providing expert advice, supervising volunteers are other expected duties. The primary focus of the role is on key transition and change management responsibilities including: NDIS Service Transition (The primary focus) Oversee and coordinate NDIS transitional project activities for Prahran Mission, operating in alignment with Uniting s NDIS Project Team objectives Work closely with the CEO and Prahran Mission s Executive Leadership Team facilitate a collaborative approach to effectively enable smooth transition of services within the Inner East region, scheduled for November 2017 Maintain knowledge of changes/trends within the NDIS and regularly communicate key information with management Collaborate with the Uniting NDIS Project Team, operating in a responsive and transparent manner, to drive positive and effective completion of transition project tasks Work with key staff to develop, implement and facilitate NDIS service communications via online, in-person and postal delivery channels. Undertake a range of key transition planning functions including activities such as mapping, service designs, modelling and implementation planning Uniting Merger Plan, implement and coordinate Uniting merger project tasks to ensure allocated work requests are completed on time and to a high standard Work closely with the CEO and Executive to review, create and distribute Stakeholder communications, as and when required, in support of merger news and changes. 4 Allocation of workload: Project demands and percentage of transition tasks may fluctuate and will require careful planning and coordination to ensure all project tasks are delivered to schedule. 2.1 Organising yours and others. Planning scheduling and facilitation of meetings (both internal and external) Preparation, review and distribution of supporting documentation Brief is clearly understood in relation to project and other commitments, particularly prior to meetings. 2.2 Documenting Be highly efficient, timely, accurate and succinct with minute taking and production Plan, coordinate and assist with the completion of project documentation Produce project plans, project briefs, updating these items and ensure timelines are being met once projects are commissioned. 2.3 Tasking. By you ensuring that key stakeholders are aware of tasks and responsibilities assigned to them and that they are progressing as per the individual and overall plans. Plan and complete allocated project tasks with key staff, ensuring set tasks are delivered on time and to organisational standards. 2.4 Reporting on. Progress of actions complete and distribute monthly project reports to the CEO, communicating progress on all deliverables. Incoming and outgoing messages of note to project/staff members ensuring the effective distribution of key information by applying suitable and appropriate communication content and delivery. 2.5 Analysing key information Capture essential points / information in relevant documents and prepare summaries that deliver key information without drowning the reader in superfluous information Undertake research to identify relevant industry trends and changes across project domains. 2.6 Influencing to assist. Successful working with and sometimes support of middle and executive managers to ensure transitional activities are achieved as per project schedules. Middle and executive managers to deliver on outstanding tasks using a non-confrontational yet highly effective approach. Page 4 of 6

5 3.0 Requirements Of The Job This position requires comprehensive knowledge of Prahran Mission s policies and procedures along with the requirements relevant to the discipline and long term goals of the Prahran Mission Transition Plan and the yet to made public New Agency Transition and Integration Plan. You will need to: Act as the central point of co-ordination across large and small projects and keep all of the loose ends together so that there is at all times a clear and easy understanding of where projects are at, at any given time Bring your significant experience to the table to suggest systems and processes needed to deliver across a range of projects from the large and complex to the small and straightforward, that are usually inter-linked in some way or another Ensure that you are always acting within the boundaries of Prahran Mission s Values, Code of Conduct, Principles of Working Together and expectations of ethical and transparent business practice. 4.0 Organisational Relationship The Incumbent works under limited direction from senior employees and may be required to supervise staff or volunteers. You report into The General Manager of Services You work closely with The CEO Secondary level of accountability is to the Prahran Mission Executive and Program Managers on specific items of information as required, to enable a successful transition. 4.2 Other Relationships A thorough knowledge of middle management employees, operational employees and volunteers and the roles that they fulfil will assist you with navigating what can sometimes be a complex structure when working to achieve outcomes and the delivery of specific information. 5.0 Extent of Authority This role will exercise a degree of autonomy, may manage a work area and will have significant delegated authority. Advice is available on complex or unusual matters but generally solutions to problems can be found in documented techniques, precedents. You can Page 5 of 6

6 Operate as a key project contact for NDIS and Merger transitional activities, with both Uniting teams and Prahran Mission staff. Authorise those items that have been specifically delegated to you for oversight and management Act within the boundaries of your role to request and require specific deliverables from individuals who have been previously tasked, know what it is they need to deliver and have undertaken to do so Manage up on occasion when it is helpful to do so. The approach would be one of assisting more senior individuals to achieve their desired outcomes without attempting to direct them as you manage up.
