1 Role of Finance Manager at St John s College, Cardiff MAIN RESPONSIBILITIES Working as part of a flexible team which runs the Finance Office from day to day. Preparing the monthly payroll from information provided by HR. Maintaining a register of salary deductions for fees, accommodation rent and Childcare vouchers. Assisting with the preparation of the School management accounts by: - Reconciling all School bank accounts at least weekly; - Maintaining the fixed asset register and processing the monthly depreciation charge; - Maintaining a register of lease and other contracts; - Overseeing the registers of subscriptions and licences; - Regularly reviewing and reconciling all balance sheet accounts; - Preparing the monthly adjustment for prepayments and accruals; - Preparing a monthly deferred income calculation; - Reconciling fee income at least termly; - Working with the Bursar to prepare information for the preparation and audit of the year-end statutory accounts together with an electronic audit file which will enable the school s accountancy firm to produce final accounts and audit; 1
2 - Assisting with the preparation of other statutory returns for the School; - Receipting, recording and banking of all cheques and cash; - Maintaining and reconciling petty cash records; - Drawing cash for petty cash; - Maintaining purchase ledger records and updating associated budget records; - Assisting with the preparation of management and annual accounts for trading subsidiaries and other associated entities as required; - Ensuring intercompany transactions are correctly recorded in the accounts as required; - To be personally committed to the process of continuous improvement at the School taking part in development and training activities; - To be committed to safeguarding and promoting the welfare of children and young people; - Undertake any other duties at the request of the Bursar. 2
3 PERSON SKILLS, EXPERIENCE & QUALIFICATIONS AAT qualification or equivalent. A strong understanding of basic accounting principles is essential. Previous experience of working in a busy accounts department. Excellent IT skills are required, confidence using Excel and the ability to use a range of finance/school specific packages. Good written and verbal communication skills with the ability to communicate effectively with a wide range of people and personalities. Experience of working in a busy and often pressurised environment. Previous experience in a School would be advantageous but is not essential. The ability to balance priorities and take responsibility for the completion of a task. Willingness to take part in additional training when the acquisition of new skills is required. 3

5 THE ROLE The Finance Manager will provide an efficient financial service to all School Stakeholders. To assist the Bursar in maintaining accurate school accounts records, ensuring that all financial/audit requirements are adhered to. Managed by the Bursar. The Bursar has overall responsibility for support staff throughout the School. CONDITIONS OF SERVICE This is a full-time post working 37 ½ hours per week, 52 weeks per year. Holiday entitlement is 5 weeks (to be taken during the School holidays) in addition to bank holidays and a non-contractual School closure between Christmas and New Year. Salary will be commensurate with qualifications and experience. Salaries are reviewed annually on 1 st September. There is a probationary period of twelve months and the appointment is subject to employment vetting checks including satisfactory references and a Disclosure and Barring Service check. CHILD PROTECTION The School is committed to safeguarding and promoting the welfare of children and applicants must be willing to participate in child protection training and screening appropriate to the post, including checks with past employers and the Disclosure and Barring Service. The postholder s responsibility for promoting and safeguarding the welfare of children and young persons for whom s/he is responsible, or with whom s/he comes into contact, will be to adhere to and ensure compliance with the School s child protection policies at all times. If in the course of carrying out the duties of the post the postholder becomes aware of any actual or potential risks to the safety or welfare of children in the School s/he must report any concerns to the School s Designated Safeguarding Lead. 5
