We hope that our release of these programs will assist with the budgeting and planning process for our partners. What s new in 2016? Renewed a la carte pricing format, to enable partnership at any budget level Geo-targeted radio/social media contest and ad campaigns Expanded group tour opportunities Focused, thematic e-newsletters that reflect consumer opt-in preferences A few helpful hints: The programs are listed in chronological order according to when the tradeshow or publications occurs. Please take special note of content deadlines, which are listed in bold print. While we encourage you to plan your participation by November 18, 2015 please remember that you always have the option to participate in additional programs at any time during the year. The programs include Suggested Partners based on past experience of what the visitors are requesting. Please use this as a planning tool. Our entire staff is here and ready to help. 2 COOP PROGRAM #1 CONSUMER MARKETING PRINT COLLATERAL Tiffany & Treasures Trail Map Costs: Visual Listing: $ 25 Consumers visiting Steuben County Content Deadline: January 25, 2016 Delivery Dates: ongoing throughout 2016 The SCCVB will be producing a full-color trail guide, highlighting our fire arts treasures throughout Steuben County for the final time as a separate print piece, to take advantage of the distribution opportunities and focused audience of the Glass Art Society conference in June The map will include images of each participating partner and a detailed description. We plan to print 5,000 maps, which will be distributed at participating partner businesses, Information Centers across the county, to Glass Art Society annual conference attendees, and at select consumer shows. Suggested Partners: Glass art studios and retail, pottery studios, museums with glass and/or pottery exhibits, buildings or collections with Louis Comfort Tiffany stained glass windows COOP PROGRAM #2 CONSUMER MARKETING Canadian Marketing Program A Welcome Surprise (AWS) Costs: Social media/radio promotion partner: $200 Ontario, Canada Materials Deadline: February Show Date: January-December 2016 This is a 12-month campaign, coordinated by Visit Rochester, targeting consumers in the Toronto metro area and southern Ontario. Participating partners will be included in our social media post suggestions to AWS, AWS website copy, and mentioned in two (2) scheduled radio interviews. This is a great way to directly and cost-effectively reach Canadian visitors! Suggested Partners: Family activities, hands-on experiences, overnight packages, wine tours, wineries/breweries, unique shopping COOP PROGRAM #3 INTERNET MARKETING TripAdvisor skyscraper ad on Hammondsport page Costs: One (1) month exclusive ad $250 all online visitors to Hammondsport page on TripAdvisor Content Deadline: 10 th of month prior Show Date: January-December 2016 We own the Hammondsport page on TripAdvisor, which gives us the ability to add content, events, and relevant partner skyscraper ads. Participating partner needs to provide 300 pixels wide by 600 pixels high JPEG image that is less than 40KB in size along with the website address that the ad should link to. Skyscraper ad cost is defined by TripAdvisor, based on the relative number of overall searches for that community name. Suggested Partners: any partner with listing on TripAdvisor, accommodations, restaurants, events, attractions COOP PROGRAM #4 INTERNET MARKETING TripAdvisor skyscraper ad on Corning page Costs: One (1) month exclusive ad $450 all online visitors to Corning page on TripAdvisor Content Deadline: 10 th of month prior Show Date: January-December 2016 We own the Corning page on TripAdvisor, which gives us the ability to add content, events, and relevant partner skyscraper ads. Mailing list participants will receive copies of the full appointment list and notes from our meetings for use in normal follow-up and promotions to the group tour market. Participants will have contact information, a brief write-up, and photo included in the brochure. Based on the overwhelming success of the brochure in 2015, we will be doubling the print run to 10,000 copies in Participation will include a social media campaign throughout the year, and brochures will be distributed at participating partner businesses, informational kiosk(s) along I-86, in welcome bags, and at select consumer shows. Suggested Partners: Breweries, cideries, beer-related suppliers COOP PROGRAM #10 INTERNET MARKETING 1 st Quarter Social Media contest Costs (select one): Sponsor: $500 Prize item donation: FREE Philadelphia metro/new Jersey Materials Deadline: January 15, 2016 Delivery Dates: February 2016 We will be targeting social media consumers in the greater Philadelphia, southern NJ area. Contest will have a primary sponsor, but additional businesses can donate overnight stays, gift cards, meals, and experiences, and will receive organic social media mentions and inclusion on a campaign specific webpage. This is an excellent opportunity for us to promote Corning and the Southern Finger Lakes firsthand to key Australian travel offices and agencies. Suggested Partners: Wineries, wine tour providers, and wine-related suppliers in Steuben County COOP PROGRAM #15 CONSUMER SHOW AAA Southern New England Travel Show Costs: Brochure Distribution: $150 per brochure type AAA members in the MA, CT, RI areas # in Attendance: 14,000 Materials Deadline: February Show Date: March 4-6, 2016 Gillette Stadium, Foxboro, MA Goal: With our display highlighting the unique experiences and AAA-rated attractions available in Corning and the Southern Finger Lakes, we will be promoting overnight packages at AAA-rated lodging to increase spring and early summer visitation. New England provides a very affluent and emerging market for us. Our presence is further enhanced by our booth s location near the Finger Lakes regional booth and New York State Travel Industry Association Please note: The SCCVB will be attending this show as a guest of The Corning Museum of Glass. Since there is a limit of 2 people per booth, we are not able to accommodate any other attendees. Most travelers identify as soft-adventure, meaning that they enjoy trying something new and not everyday. Since wine tasting and glass-blowing are considered soft-adventure, this is exactly our audience! Please note: The SCCVB will be attending this show in conjunction with NY Welcomes You. Since there is a limit of two (2) people per booth space, we can only accommodate the first partner who commits to attending. This spring, we will be targeting consumers in the Philadelphia metro area - with a median household income of over $60,000, and being an easy 4-hour drive to our area, this is a target market that has the potential to visit and spend money in our community. Call-to-action will be a campaign specific webpage, where participating partners will be listed/linked. Please note: Commercials will overall be promoting the entire destination participating partners will receive a 15 second donut portion of our general destination ad. We will be distributing the Tiffany & Treasures Trail guide (program #1) and any participating partner brochures. Attendance partners are encouraged to offer a handson demonstration of their work. Please note: Partners must work a minimum 4-hour shift please schedule shift preference in advance. This fall, we will be targeting consumers in the Philadelphia metro area with a combined radio/social media campaign - with a median household income of over $60,000, this is a target market that has the potential to visit and spend money in our community. Call-to-action will be a campaign specific webpage, where participating partners will be listed/linked. Businesses can donate overnight stays, gift cards, meals, and experiences, and will receive organic social media mentions and inclusion on a campaign specific webpage. For a $500 investment, partners receive those benefits, plus one (1) promoted Facebook post during the campaign period and second donut radio ads. For those who invest $1,000, you get all of the above, plus an additional promoted Facebook post (two (2) total) and second donut radio ads! 16 2016 Steuben County Cooperative Marketing Program OVERALL PROGRAM GUIDELINES Reservations will only be accepted by or fax. Reservations for those programs with limited space will be taken on a first-come-first-served basis. The CVB is flexible on billing, depending upon your individual business requirements. For those who choose to pre-pay in full at the time of commitment, we will extend a 10% discount on the overall program cost. For those organizations that choose not to pre-pay, the CVB will provide monthly invoices, upon completion of the programs chosen. Participants with outstanding bills will be prohibited from participation in future cooperative programs until the outstanding bill is paid in full. Partners who cancel, or fail to uphold their obligations for content/materials, less than 10 business days out, or after commitment deadline for print advertising, will be billed at full participation. Participants in programs must agree to track and report the level of visitation resulting from each program. We encourage distribution of marketing materials with specific URLs, QR codes, promotional offers or booking codes as the preferred tracking methods. If a sufficient level of the overall costs of any specific program is not covered by participants, then that specific program will be dropped or scaled back. All participants who expressed interest in being involved in the program will be notified of the decision to cancel or reduce participation. Individual participants are responsible for getting their information for the program to the CVB by the deadline shown. This includes brochures, advertising copy, pictures, logos, etc. The CVB is responsible for the overall layout and design of the program and ads based on the space requirements shown on the agreement form. There will be a limited amount of creative freedom that will have to be assumed by the CVB; however, necessary changes will be presented to the participant(s) prior to going to the marketplace. The CVB will provide a proof of any digital, print, audio, or visual ad to the participants. The proof will include a deadline for changes. Changes must be received by the deadline or the ad will be assumed to be correct. TRADESHOW ATTENDANCE GUIDELINES The Conference and Visitors Bureau will be responsible for reserving exhibit space and transporting materials to the show. The CVB will also provide directions to the show, a schedule for the show, and show specifications, including proper attire. Participants will be responsible for providing their materials, adhering to the designated schedule, making their own travel arrangements, and covering their own travel costs. In many cases, participants may share transportation with CVB staff at no cost to the participant. Please arrange with CVB office in advance. The exhibit space is reserved to represent Corning and the Southern Finger Lakes. Maximum effectiveness will be achieved by promoting the idea of exciting experiences within our area first, and the individual facility second. All participants will engage in soft-sale techniques; most of these audiences will not respond to pushy salespeople. Unless otherwise noted, attending participants must be present for the duration of the show. Participants will be responsible for maintaining a professional appearance and attitude throughout the show. Participants displaying unacceptable behavior will be verbally critiqued. Continued negative behavior will influence future cooperative program involvement by the participant s organization. Attendance and Brochure Distribution participants will have their brochures displayed throughout the duration of the show. The Conference and Visitors Bureau will notify participants of the brochure quantity needed. All brochures not distributed at a show will either be returned to the participating business or stored for future show use, if applicable. enewsletter GUIDELINES Content will be planned around unique, master-crafted experience themes on a varied schedule, based on events and holidays that happen throughout the year and consumer opt-in experience preferences. Participation will be limited to the first three (3) partners who sign up for each e-newsletter. Premier listing is limited to one (1) partner per month. Premier listing partner should supply one image, 900pixels wide, link to website, and no more than 250 words of copy. Photo Only listings are limited to two (2) partners per enewsletter. Photo Only partners should supply one image at least 600pixels wide and link to website. Content will be due ten (10) business days prior to delivery deadline specified. The SCCVB will provide statistics on newsletter open-rate and click-thrus to participating partners within 20 business days of newsletter delivery.
