1 Corporate Services Purchasing Trainee Faculty Buyer Fixed term for 12 months (maternity cover) Satellite 3: Faculty of Performance, Visual Arts and Communications (PVAC), Leeds University Business School (LUBS), Education, Social Sciences & Law (ESSL) and the Faculty of Arts You will support the procurement activities for the faculties of Performance, Visual Arts and Communications (PVAC), Leeds University Business School (LUBS), Education, Social Sciences & Law (ESSL) and the Faculty of Arts within the Satellite Purchasing Office by processing the day-to-day purchasing transactions and providing general office support ensuring consistency with the University Strategy. You will be educated to GCSE level, or equivalent, with English Language and Maths at Grade C or above, possess IT skills including Word, spreadsheets (Excel) and databases (Access) and have excellent communication skills. University Grade 3 ( 15,765-17,528 p.a.) This role is on a University of Leeds 3/4 training grade. The successful candidate will be appointed at University of Leeds Grade 3, and a personal development plan will be put in place for progression to University of Leeds grade 4. 2 Job Description Reports to: Satellite Purchasing Manager (through whom he/she is accountable to the Head of Procurement) Responsible to: PVAC Faculty Finance Manager Key Relationships: Work closely with the Satellite Faculty Buyers and end users Personal Development: You will be expected to undertake training relevant to the job; this will include training in SAP as necessary Main duties and responsibilities You will process day to day purchasing transactions and provide general office support for the Purchasing Office and support their aims which are consistent with the University Strategy. You will: Ensure that routine requisitions are processed such that goods and services are delivered as specified and on time Provide basic purchasing information including prices to end-users upon request Be aware of and comply with the University s Financial and Purchasing regulations, and compliance with the Purchasing Thresholds and other relevant purchasing directives, (EU, mandatory contracts etc) Refer infringements of University Regulations including: retrospective orders, contract compliance and goods receipting to the appropriate Purchasing Officer/Purchasing Manager Have close liaison with the Purchasing Officer/Purchasing Manager and ensure that any issues arising are referred as appropriate and without delay Work with and support the use of integrated Finance and Purchasing system (SAP/SIPR) and the E-Marketplace (Science Warehouse) Support for the procurement office will include: Collation and placement of orders via electronic requisitions across four faculties Help specify basic requirements Help to maintain records and files to an auditable standard Assist with ensuring that blocked invoices are released in a timely fashion across four faculties Help to build up a network of contacts with relevant staff at the University As directed, liaison with Finance and Accounts Payable offices Progressing goods receipts, Parked Invoices etc

4 Person Specification Essential Educated to GCSE level, or equivalent, with English Language and Maths at Grade C or above Evidence of IT skills particularly in word processing (Word), spreadsheets (Excel) and databases (Access) Excellent communication skills and the ability to communicate effectively by telephone An ability to develop and maintain good working relationships Ability to self-motivate Ability to work as part of a team Ability to work with reliability and accuracy Willingness to learn with a can do attitude A working knowledge of the World Wide Web Willing to spend a large proportion of time carrying out routine transactions Willing to undertake all required training courses Desirable. Familiarity with any computer based, business software An understanding of the basic principles of procurement Willingness to work flexible hours as required to support the business
