We won t give up until everyone experiencing a mental health problem gets support and respect. We provide advice and support to empower anybody experiencing a mental health problem and we campaign to improve services, raise awareness and promote understanding. The Networks and Communities (N&C) Department at Mind has a crucially important role in enabling Mind to reach more people, increase our influence and effect long lasting change in all communities including those disadvantaged and marginalised communities, across England and Wales. We support people to be involved in designing and delivering our work, and to develop their own ability to lead. Our increased impact comes about through supporting and strengthening the federated model and our relationships with our network of 130+ affiliated local Minds organisations, so that strategically we can align and they are supported and equipped to act as the primary vehicles and take ownership and Physical Activity Officer Page 1 of 6
2 leadership of Mind s mission in local areas across England and Wales. The Community Services Unit works to strengthen our approach to supporting the development and commissioning/funding of local Mind s services. The unit s work is based around a clear Service Strategy. As Physical Activity Team Officer you will support the work of the Physical Activity Team, as directed by the Head of Physical Activity. Reporting to the Head of Physical Activity, you will: Support the delivery of Mind s physical activity programme work, namely the Sport England funded programme, Get Set to Go. This will include: o Leading on the collation of monitoring and evaluation data o Coordinating enquiries into the team from stakeholders across the sport and physical activity sector o Support the submission of reports to funders and internally, through collating information and writing reports Manage the team s communication about its work to both internal and external stakeholders The first point of call for general enquiries about sport and physical activity at Mind. This includes managing programme enquiry inbox, updating the mind.org.uk/sport webpages and fielding enquiries to the relevant team member. Printing and sending out of programme resources/materials. Data collation, entry and basic analysis across the programme for monitoring and evaluation purposes through both paper and online surveys. Supporting programme learning and sector events at national and regional level both through face-to-face events and through webinars. This includes supporting with logistics such as venues, guest lists, AV, preparing of materials and post event evaluation. Support the delivery of physical activity training where appropriate Mind aims to ensure that the needs and interests of mental health service users, women, black and minority ethnic communities, disabled people, lesbians, gay men, bisexuals, transgender and people of all ages are reflected in all its activities. You are expected to contribute to this aim. Key responsibilities 1. Coordinate the team s activities, including events, meetings and training 2. Responding to general enquiries/correspondence; seeking advice and guidance from senior colleagues as required. 3. Maintaining up-to-date and accurate records both manual and computerised systems. 4. Disseminate information to and from Mind s networks local Minds, young people, members, and partners via appropriate channels on activities and initiatives being undertaken by the Physical Activity Team Physical Activity Officer Page 2 of 6
3 5. Assist members of the team in preparing presentations and briefings for an internal and external audience 6. Represent the team at external meetings where appropriate and work with external contacts as directed 7. Deliver training to external organisations where required 8. Manage the smooth running of meetings including such tasks as setting dates, preparing agenda and papers, booking rooms and refreshments, taking accurate minutes and following up from meetings as necessary 9. Process invoices/expenses claims, and monitor the physical activity budgets, including liaising with finance to prepare reports to funders 10. To maintain and develop administrative systems within own area of work 11. Undertake any other duties, which are in keeping with the grade and overall purpose of the post. Expectations: 1. To ensure our work reaches people from a wide range of backgrounds, including people from marginalised and disadvantaged communities. 2. To ensure that people with experience of mental health problems, including those from including those from diverse, marginalised and disadvantaged communities, inform the design, take part in the delivery and review the work of the team as fully as possible 3. To be responsible for working collaboratively with others in the Unit, Department and organisation, where relevant, and to meet regularly to develop joint solutions and actions. This includes working with colleagues in Mind Cymru to make sure activity is proportionally delivered across both England and Wales 4. To attend and contribute to meetings, training and other events as required. 5. To attend and contribute to the supervision and appraisal process. 6. To ensure that all responsibilities and activities within this post are in accordance with the terms and spirit of Mind s policies 7. To occasionally travel to meetings in England and Wales, which may require the need to work unsociable hours e.g. attending evening or weekend meetings or for overnight stay. 8. The nature of the post will require flexibility in undertaking the role Person specification: Physical Activity Officer Essential criteria 1. An understanding of how to engage people from marginalised and disadvantaged communities in services 2. Demonstrable experience of working in a research, office based or administrative role 3. Demonstrable experience of analysing, summarising and producing written and/or verbal briefings for internal and external audiences 4. Experience of organising and prioritising own workload on a day-to-day to tight deadlines 5. Good interpersonal skills (both face to face and on the telephone) when communicating with Mind s staff, supporters and stakeholders at all levels 6. Proven administrative ability (e.g. organising meetings, managing diaries and s, managing filing systems, booking accommodation, taking minutes) 7. Excellent oral and written communication skills with internal and external audiences, including formal reports and presentations to funders. 8. Experience of contributing to programme evaluations and an understanding of the main approaches to outcomes measurement. 9. An understanding of health, public health and social care environment Desirable criteria 1. Direct / Indirect Experience of mental health problems 2. Experience of having worked with people from a range of racialised and other marginalised and disadvantaged communities to effectively influence and participate in projects and services that you have worked on 3. An understanding of Mind and its networks, or similar structures within the voluntary sector. 4.
