1 Job Vacancy Assistant Administrator (part-time) Salary: 7,407 per annum ( 17,900- FT) + 6% pension contribution Location: ublin Reporting to: Ireland Manager Meningitis Research Foundation: We are a leading Irish, UK and international charity that aims to improve the prevention, diagnosis and treatment of meningitis and septicaemia. It is an exciting time for the charity as we expand our reach and impact to meeting the challenges of meningitis and septicaemia wherever they exist in the world. The candidate: We are seeking a responsible person to provide administrative support for the ublin office. You will be approachable and personable, dealing with general reception duties. You will be a multi-tasker, able to assist in daily office needs and the charity s general administrative activities. 3 Job escription Assistant Administrator (part-time) Context This post is based in our ublin office and is part of the admin team. You will work across teams helping MRF with general administrative activities. You will join a small and close-knit team that is committed to the charity and to constant improvement of the work we do. Purpose To provide administrative support for all aspects of ROI work programme. Reports to Ireland Manager who is responsible for teams in ublin and Belfast. Responsibilities Key tasks Opening and distributing incoming mail with another staff member. Franking and posting outgoing mail, including responsibility of dispatching fundraising and awareness literature. Inputting and retrieving computer data, including maintaining member and supporter records. Updating forms, information sheets and sending correspondence as required. Reception duties and responding to telephone queries and basic helpline calls. Managing and promoting collection boxes and assisting to sell our branded items. Maintaining office equipment and supplies, filing and photocopying. Managing and ordering office stationery within budget. General office cleaning duties. General, personal & developmental To keep abreast of best practice and statutory requirements for the role. To keep abreast of MRF s research programme and of current developments in the field of meningitis and septicaemia. To take responsibility for own development and training needs, in consultation with the Line Manager. To contribute to the overall development of the charity through establishing positive working relationships and effective lines of communication with colleagues, partners and other stakeholders. To carry out other duties as reasonably required by the Line Manager/Chief xecutive and/or Board of Trustees. Assist-Admin /5

4 Person Specification ssential or esirable Training, xperience and Qualifications Knowledge and Skills General Minimum 6 month experience (in paid or unpaid capacity) in office environment Word processing and excel proficiency, retrieving and inputting data xperience of developing and maintaining office records and administration systems Familiarity of handling money xperience of working with volunteers Good oral and written communication skills Able to work successfully as part of a team Knowledge dealing with office equipment, basic knowledge of equipment maintenance Able to juggle several tasks or projects at one time and prioritise workload Self-motivated Able to work to deadlines and under pressure Able to relate to a wide range of people Knowledge of coordinating large mailings Able to work occasional unsocial hours and a willingness to travel, occasionally overnight Full driving licence & access to vehicle Assist-Admin /5

5 Terms and Conditions - ssentials Location Your normal place of work will be Gardiner House, Lower Gardiner Street, ublin 1, with occasional work elsewhere including the UK and Republic of Ireland and potentially further afield depending on the post held. Salary 7, % employers pension contribution. Paid in arrears on or around 25th of each month. Hours of Work 15 hours between 2:00pm to 5:00pm Monday to Friday. Occasional unsociable hours. Annual Leave 24.5 days + statutory & public holidays (pro rata). The charity s holiday year runs from 1 April to 31 March. Assist-Admin /5
