1 The Glennie School Position Description for Director of Operations CLASSIFICATION LEVEL STREAM QUALIFICATION SUPERVISOR SUPERVISORY ROLE PERFORMANCE APPRAISAL SPAN OF HOURS CONDITIONS: School Executive Salary package as negotiated Management and Administration Considerable and successful professional experience in a similar field, with substantial senior leadership practice guiding and managing staff operating in multiple programs across an organisation. A commercial and /or educational background including a university degree; A demonstrated high level of competency and success in management, leadership and administration. Head of School School Operations function which includes Human Resource Management, Workplace Health and Safety, Risk Management, Information Technology, Registrar, Marketing and Foundation Office management. A six month probation period will apply from the date of initial employment. Performance appraisal will be conducted on completion of probation and then annually after the date of initial appointment. Normally between 8.00am and 6.00pm with additional hours as requested by the Head of School or as a result of work related commitments. Permanent full time position including employer superannuation, sick leave, long service leave and four (4) weeks annual leave. 1

2 The School will give three months notice of termination or salary paid in lieu. The Director of Operations is expected to provide three months notice of resignation. POSITION SUMMARY Reporting to The Head of School and working with the Director of Finance and Facilities (DOFF,) the Director of Operations (DOO) is to lead and manage a comprehensive array of services and programs. The DOO will partner with the Heads of sub-schools and departments in meeting strategic goals for revenue generation, human resources, workplace health and safety, risk management, information technology, administration, quality improvement, marketing and community engagement. The DOO is responsible for developing, implementing, and managing the operating program elements of the annual budget in conjunction with the DOFF and Head of School. The DOO is Secretary to the School Council and supports the Chairman and the Head of School in assisting the School Council to meet its constitutional and governance responsibilities. As Secretary, the position is responsible for co-ordinating all papers to Council. Additionally, the DOO is Secretary to the Audit and Risk Committee of School Council. The DOO is Company Secretary to Glennie School Foundation Limited and assists the Directors with philanthropic / fundraising activity through the Foundation Office. As a member of the School s Senior Leadership, the DOO is expected to work closely, effectively and harmoniously with, and in support of the School s academic leadership and programs in achieving the Position Outcomes. POSITION OUTCOMES Strategy planning and management 1. Take responsibility for the development, implementation and monitoring of the strategic plan, working closely with the Head of School and the School Executive. 2. Ensure the preparation of departmental annual budgets that fall under the positions responsibility outlined in Supervisory Role above. Coordinate closely with DOFF to ensure budgets are prepared in accordance with the Budget Development Policy. 3. Oversee the development of annual and longer- term rolling operational plans. 4. Develop, implement and monitor policy initiatives that contribute to the operational, reputational and overall strength of The School. 5. Oversee all operational risk in conjunction with the School Executive. 2

3 Business Development and Marketing 1. Oversee the School s strategic business development and marketing plan and implementation. 2. Ensure sound business development practices and policies are implemented. 3. Oversee fundraising projects for major building projects. 4. Engage in School engagement activity with supporter groups and the wider community. 5. Assist the Head of School to represent the School and network with external community groups, including business, government, and private organisations. Personnel 1. Administer policy on issues in relation to employment of non-academic staff, e.g. conflict, grievances etc, with sensitivity and fairness. 2. In consultation with the Head of School, manage the recruitment and employment of non-academic staff. 3. Develop leadership capability and oversee professional development programs for non-academic staff. 4. Co-ordinate regular performance appraisals for non-academic staff. 5. Promote regular and ongoing opportunities for all staff to give feedback on program operations. 6. Ensure that The School maintains adequate procedures to meet statutory obligations outside the educational fields, including workplace, health and safety, anti-discrimination and blue cards. IT administration 1. Co-ordinate The School s information management system, in consultation with management and technical staff. 2. Ensure all internal and external communication systems, procedures and policies are implemented to facilitate relevance, timeliness, accuracy and security. Risk 3

4 1. Oversee The School s risk management processes in collaboration with the Head of School and School Executive, taking a lead role in implementing The School s Risk Management Framework. Secretarial duties 1. As Secretary to the School Council, ensure The School meets its governance and reporting obligations. 2. Coordinate the timely and accurate preparation of all papers to Council to ensure effective decision-making. 3. Undertake the role of secretary to the Audit and Risk sub-committee of School Council. 4. Undertake the role of Company Secretary to the Glennie School Foundation Ltd. 5. Ensure the timeliness, accuracy and security of all school records including those associated with School Council and Committee meetings. PERSONAL ATTRIBUTES AND GENERAL PRE-REQUISITES OF THE POSITION Demonstrate support for and empathy with Christian values and beliefs, the School s philosophy, policies and procedures, core values and commitment to the Anglican ethos. An active Christian faith is desirable. A professional attitude to the conduct and completion of the duties and responsibilities of the position whilst actively and positively contributing to a team environment within the School including students and parents. Ensure daily behaviour and dress comply with accepted standards and work areas are kept tidy. Understand the rules of the School and act consistently in their application. Be willing to offer your other talents and skills to improve the outcomes of the position. Maintain a caring, cooperative, friendly, responsive and understanding manner with the School community of students, parents and staff, together with other customers in the wider community. Empathy with the cognitive, social, emotional, physical, spiritual and psychological 4

5 needs of adolescents as well as adults. Enhance professional qualifications and skills that benefit the position and outcomes for the School through further learning opportunities. Undertake other duties, as directed by the Head of School. Possess a current driver s licence and possess, or have applied for, a Working with Children blue card or Exemption Card. Understand and act on School emergency procedures including the Workplace Health and Safety (WH&S) obligations to play an active role in supporting a safe and clean school environment. Possess high level skills and competencies to operate all office equipment as required by the position including relevant software applications.
