1 JOB DESCRIPTION Employer Engagement Co-ordinator Responsible to: Head of Quality & Engagement Responsible for: Co-ordinating Employer Engagement and Job Placement Projects/Initiatives and managing administrative protocols/ processes relating to the projects/initiatives in the Learning Centre Liaise with: Internal staff, Internal & External Employers, External agencies, e.g. Recruitment Agencies or Job Placement organisations, Community Transport Association, Local Authorities, Training Providers, Community Organisations, Job Centre Plus, Funding Bodies and other relevant organisations. ROLE The Engagement team is results focussed and will develop effective and strong partnerships with employers and stakeholders. The Employer Engagement Officer will be highly motivated to succeed on a personal, team, provider and community level. Whilst he/she can rely on the curriculum team to support apprentices, the Employer Engagement Officer has a key role in ensuring that employers know that working with HCT Group Learning Centre is an outstanding choice. You will be responsible for implementing an overall strategy for getting people into work placement both internally and externally with other organisations and ensuring that the applicable targets are met. You will be responsible for working with employers to make sure they have full knowledge of and take advantage of the pre-apprenticeships, apprenticeships and work experience opportunities on offer to both employers and learners. You will source new employers and develop long term beneficial relationships with them, particularly with decision makers.
2 To succeed you'll need to balance your enthusiasm with the need to ensure learners move into a suitable pre-apprenticeship, apprenticeship scheme or work experience placement. You'll be professional, but comfortable engaging with often busy and senior staff in organisations to promote apprenticeships and work experience as a worthwhile investment. In addition to ensuring that set targets or outputs required for sourcing and signing up new employers and work placement activities are met, the Employer Engagement officer will also be responsible for the tasks listed below (as well as those that may evolve as the position becomes established): Develop/Maintain a database of employer and employment opportunities available for HCT s clients in all the curriculum areas we work. Collaborate with the Engagement Advice and Guidance Manager (EAGM) to manage the initial assessment of apprentices / work placement candidates skills and draw up personalised programme plans (as appropriate). Keep up-to-date with latest developments in the employment sector. Ensure the efficient administration of work placement / apprenticeship activities in conjunction with the EAGM. The Engagement Advice and Guidance Manager will take responsibility for supporting, training and supervising the Employer Engagement Officer s post. MAIN DUTIES AND RESPONSIBILITIES 1. EMPLOYER ENGAGEMENT ACTIVITIES To build your pipeline and maximise sales opportunities through a variety of methods including cold calling and door knocking To contact prospective clients in order to identify key points of contact and decision makers To book client meetings to discuss in detail the benefits of utilising preapprenticeship / apprenticeship / work placement schemes To market the business services and offering solutions to the needs of the employer To build and maintain effective relationships with all parties via regular contact Jul 2016 EEO 2
3 To identify and source employers creating opportunities to enrol employees into work. To work with employers and staff to march, market and sign up candidates for training courses. To attend local networking events as required To complete all accompanying administration both manual and computerised - required for accurate record keeping of all activities To keep the internal database and relevant documents up to date and accurate at all times To ensure KPI's are achieved and statistics are kept up to date To keep up-to-date with latest developments in the Learning Centre and the Employment sectors HCT work in. 3. WORK PLACEMENT AND EMPLOYMENT ACTIVITIES To secure Traineeship, Apprenticeship, Work Placements with employers for learners To manage the work placement and apprenticeship activities of the Centre. To plan/schedule all work placement activities and to ensure the timely delivery of targets. To support the Centre to identify placement needs of the Participants To arrange and agree placement with the appropriate employer / sector. To plan and provide cover for members of the Centre when required. To develop/maintain productive working relationships with employers in all the industry where HCT s participants/work candidates have indicated a preference. 4. QUALITY/ MONITORING/EVALUATION Ensure that all monthly engagement and placement targets are met. Monitor and evaluate the effectiveness of the Engagement and Placement activities. Ensure, in conjunction with members of the Curriculum Team, that participants are placed on time. Assist in the development and implementation of overall quality standards within the Learning Centre. To ensure, in conjunction with members of the Engagement Team, that all job placement activities are completed on time. In conjunction with the EAGM, to be responsible for co-ordinating apprentice and work placement candidate s feedback and for managing complaints related to the services provided To ensure that all engagement and placement activities are carried out with due regard for Health and Safety and to comply with HCT s policies and procedures at all times To produce monthly reports of profiled contract outputs against actuals. 4 5. OTHER TASKS To organise or attend events to publicise HCT s training courses. Promote HCT s programmes or training to interested Groups, Employers or other external organisations similar to HCT. Support the Learning Centre Team with good record keeping of trainees/apprentices files and other administrative duties To attend relevant meetings as/when required. To produce regular reports for the EAGM To produce quarterly newsletter to send to all stakeholders To carry out other tasks which fall under the remit of the position in addition to tasks that may be requested by the Director of Skills & Employment or other Senior Management staff. 5 ESSENTIAL PERSON SPECIFICATION Selection criteria (skills, knowledge and experience) 1. Must be able to demonstrate an understanding of the equal opportunities and have the ability to adhere to and promote HCT s Equal Opportunities Policy. 2. Relevant Professional Qualification or proven track record 3. Must possess a minimum of 2 years within an apprenticeship related position. 4. Sales, marketing and account management skill set and experience 5. Successful partnership working experience and maintaining business relationships 6. Customer service experience / Customer centric approach 7. Experience of writing detailed reports to include quantitative data 8. Experience of giving presentations to external organisations and responding to questions 9. Industry knowledge & previous experience relating to employment 10. Ability to research industry sectors and employers 11. Ability to write proposals, correspondence and reports 12. Ability to solve practical problems and deal with a variety of variations in situations 13. Able to maintain total confidentiality 14. High level interpersonal and written and verbal communication skills 15. Strong organisational and administrative skills 16. Good negotiation skills and organised approach 17. Effective team player 18. Knowledge of working to employment policies and procedures 19. Previous experience of achieving KPI's or Targets 20. Experience of using IT (Microsoft Office Suite Word, Excel, Access, Outlook) to record and process information. DESIRABLE 1. IAG qualification or equivalent 2. Educated to degree level or equivalent work experience 3. Experience of working in Education and Apprenticeships 4. Ability to speak a language spoken by a minority community in Hackney.
