1 NMIT JOB DESCRIPTION MARKETING ASSISTANT POSITION: Reports to: Marketing Assistant Marketing Services Manager Purpose: To provide marketing assistance as part of the Marketing Communications Team in the implementation of marketing and recruitment strategies across all forms of media and activities that enable NMIT to engage our communities and industry in learning. FUNCTIONAL RELATIONSHIPS: Internally: Marketing Services Manager Marketing Communications Team Directorate of Marketing and Student Management Systems Directorate and Senior Management Programme Area Leaders & Support Services Managers NMIT Staff and Students (both domestic and international) Externally: Graphic Design/Ad Agencies Printing suppliers Photographers/Video producers PR Agencies Students / graduates (both domestic and international) Other external companies/suppliers RESPONSIBILITIES Provide marketing administrative support for the marketing communications team Co-ordinate the copy and content for NMIT print and digital marketing communications Co-ordinate the production of printed material, recruitment advertising and NMIT merchandise Co-ordinate direct marketing activities, print and digital, including administration and maintenance of marketing databases Maintain press release distribution lists and co-ordinate press release distribution Co-ordinate photography/video including maintaining the photography and video footage resources.

2 Be a social media champion for NMIT Assist with NMIT events and engagement activities Ensure all marketing communications reflect NMITs brand and image THE MARKETING ASSISTANT WILL BE EXPECTED TO: Marketing Administration Provide marketing administrative support for the marketing communications team including but not limited to; Processing orders and invoices for payment in an effective and timely manner including monthly accruals. Obtain quotes for print materials, publications and other promotional and event material. Assist the Marketing Services Manager to track work in progress to marketing communications plans. Assist the Marketing Services Manager to track marketing spend. Administrate and maintain marketing databases Ensure brand and logo guidelines are applied Copy and Content Liaise with programme area leaders and support service staff to gather, input and proof content for marketing communications materials and activities. Co-ordinate proofing, version control and sign off for copy and content. Ensure that NMIT policies and procedures for production of marketing communications materials are adhered to. Production of Printed Material & NMIT Merchandise Administer print publications stock and merchandise stock including distribution to other campuses.. Liaise with graphic designers and printers during production as required. Liaise with internal stakeholders for production of printed material as required.

3 Digital Media Assist with marketing communications activities through digital and social media channels Assist website coordinator as required with website content maintenance Advertising Make advertising bookings as agreed in marketing communications plans and supply advertisements to media as required. Direct Marketing Prepare and action direct marketing activities including direct mail and activities, Develop and maintain marketing databases Events and engagement activities Assist with NMIT events and engagement activities including but not limited to; Graduation, Open days, Information days, Step into Study and marketing functions. Photography and Video Administrate the NMITs photo library Liaise with photographers for Graduate profiles and other photography requirements Maintain the Marketing Communications Team digital camera s and video equipment. Press Releases and Editorial Administer distribution lists for regional and national media Liaise with contracted media writers to produce editorial or press releases as required Maintain copies of all editorial and press releases in a central file and distribute to media lists Maintain professional standards of practice Comply with NMIT policies and codes of conduct Comply with external professional body requirements Comply with legislation applicable to marketing and advertising.

4 PERSON SPECIFICATION MARKETING ASSISTANT QUALIFICATIONS AND EXPERIENCE Minimum 2 years experience in a similar Marketing role Appropriate Tertiary qualification CORE VALUES Solution and goal oriented Ability to embrace change Innate ability to understand the needs of customers and stakeholders Honour Te Tiriti o Waitangi commitment and give effect to the principles of Partnership, Participation and Protection Show commitment and be accountable ESSENTIAL SKILLS AND ABILITIES Demonstrate excellent project management and organisational skills, including the ability to work effectively with minimal supervision in an atmosphere of multiple projects, shifting priorities, and deadline pressure A comprehensive understanding of marketing Experience and knowledge in new marketing initiatives including social media and digital marketing strategies Demonstrated experience in executing Marketing Communications strategy/policy. Team work is paramount so a proactive, helpful nature and the flexibility to work in an ever changing environment is essential A commitment to excellent, proactive customer service Experience in advertising bookings and strong proofing skills with excellent attention to detail Excellent communication and interpersonal skills including the ability to relate to various stakeholders including internal teams, student population and prospective students Excellent computer literacy skills using all Microsoft applications Ability to quickly learn and operate other software applications including student management software systems

5 Excellent administrative organisational and time management skills Demonstrated experience in database coordination and administration Pleasant, friendly, unflappable, confident manner Ability to speak/communicate clearly with excellent listening skills Ability to work independently and display initiative in a self managing team environment Ability to quickly gain a broad understanding of a broad product range Commitment to NMIT s Te Tiriti o Waitangi policy DESIRABLE A knowledge of the tertiary sector Sound geographical knowledge
