1 Appintment Status Details Overview Definitins The Appintment Status Details screen is used t capture the emplyee s current, future and histrical appintment status recrds. When an emplyee has an appintment Persnnel Actin Request (PAR) cmpleted, standard defaults exist fr the emplyee s current and future appintment statuses (fr emplyee s being appinted t prbatinary status). Edits can be made during the PAR prcess as well as thrugh direct entry. The fllwing fields are shwn in the Appintment Status Details Overview screen: Effective Date the effective date f the appintment status recrd. Each time an appintment status recrd is created, the effective date ppulates based n the effective date f the appintment actin being perfrmed. End Date the last day f each appintment status recrd. There will always be an active appintment status recrd. When a new recrd is created, the previus recrd is end dated the day befre the new recrd (based n the effective date f the new recrd). Appintment Status the tw-digit appintment status cde fr each appintment status recrd. Status Expiratin Date the expiratin date fr each appintment status recrd. Overlap Indicatr indicates when emplyees are verlapped with an X. Overlap Date the date the emplyee began verlap. The fllwing fields are shwn in the details sectin: Effective Date the effective date f the appintment status recrd. The effective date is ppulated in the fllwing ways: Defaults t the effective date f a PAR actin that has been acted upn. ASD - 1 Last Updated n February 4, 2015

2 Appintment Status Details Defaults t the day after the prbatinary status recrd expiratin date when creating the permanent status recrd (fr emplyees appinted with prbatinary status). During direct entry, a new recrd can be created by updating the end date and status expiratin date n an existing recrd with 12/31/9999 as the end date. End Date The end date is based n the last day f each appintment status recrd. Defaults t the status expiratin date (based n the prbatinary perid in Org Management) when appinting an emplyee t prbatinary status with an appintment PAR. Defaults t the status expiratin date (12/31/9999) when appinting an emplyee t permanent, exempt r any ther status. Shared Indicatr indicatr is marked based n the emplyee s psitin being flagged as shared. Field is nt available fr direct entry (updates must be made in Org Management). Overlap Indicatr indicatr is marked either during the PAR prcess r during direct entry when the emplyee s Full Time Equivalent (FTE) exceeds the psitin FTE. Field is available fr direct entry. Overlap Date the verlap date is based n when the emplyee began verlapping psitins. The date must be within the begin and end date f the appintment status recrd. Field is available fr direct entry. Appintment Status indicates the emplyee s appintment status which is created during appintment (except fr lateral and legislative directed transfer actins). Edits can be made during the PAR prcess as well as thrugh direct entry (nce a recrd is established). Appintment status cdes include: 02 - Prbatinary Valid fr psitins in emplyee subgrups 01, 04, 06, 07, and 31. The perid is n less than 12 mnths and n greater than 18 and is assigned n the Psitin Attributes screen (inftype HRP9121) 03 - Permanent Valid fr psitins in emplyee subgrups 01, 04, 06, 07, and 31 nce prbatinary perid is successfully cmpleted 09 - Exempt 10 - Trainee - Recruitment 11 - Trainee - C-Op 12 - Trainee - Vcatinal Rehab 13 - Trainee - Return t Wrk 14 - Trainee - Blind Services A - OPS Temprary Appintment B - OPS - Seasnal C - OPS Bard Members D - OPS Student Or Graduate Asst F - OPS Part-Time Academic Emplyment ASD - 2 Last Updated n February 4, 2015

3 Appintment Status Details G - OPS Cntracted Physicians I - OPS Institutinal Clients J - OPS Health Care Practitiners K - Americrps Status Expiratin Date indicates the expiratin date fr the recrd selected. Field is preppulated fr prbatinary appintments based n the number f mnths selected in the prbatinary perid field n the psitin (psitin attributes screen). Field can nly be edited if the prbatin extensin date is updated (prbatinary status emplyees nly). Fr all ther appintment status types, the status expiratin date defaults t 12/31/9999. Prbatinary Start Date date is ppulated based n the effective date f a prbatinary recrd. Field is nt available fr update and is nly displayed when an emplyee is in prbatinary status. Student Type drp dwn selectin available when status change r appintment PAR is being acted upn r thrugh direct entry. Student type cdes include: 1 - DCT/CBE 2 - Cperative Educatin 3 - Intern 4 - Other High Schl r Vcatinal Schl 5 - Other Cllege Prbatin Extensin Date date is entered by an HR user if prbatin is extended. Updates must result in a date greater than the current appintment expiratin date, but n mre than 18 mnths frm the prbatinary start date. After updating and saving the extensin date, the emplyee s end date will als be updated. Authrizatin Prcess Steps Users with a security rle f A, H, U, X and Y will be able t update the appintment status screen thrugh direct entry. Managers can update appintment status recrds when cmpleting a PAR actin nly. The appintment status screen can be updated during the cmpletin f an appintment PAR actin r can be updated thrugh direct entry (HR rles cdes nly). Updates can nly be made t the current r future dated recrd. PAR Prcess ASD - 3 Last Updated n February 4, 2015

4 Appintment Status Details When acting upn a PAR that appints a Career Service emplyee t prbatinary status, the status expiratin date will autmatically ppulate based n the prbatinary perid assigned t the psitin in Org Management. Edits are in place that frces the prbatinary perid t be between 12 and 18 mnths. Upn saving the appintment status screen during the PAR prcess, a future dated permanent status recrd will be created with an effective date the day fllwing the expiratin date f the prbatinary recrd and with a 12/31/9999 end date. Fr example, if the emplyee has a prbatinary status expiratin date f 10/02/2015 saved during the PAR, a new recrd with permanent status will be created with a begin date f 10/03/2015 and an end date f 12/31/9999. When cmpleting an appintment PAR with lateral r legislative directed transfer reasn cde, the emplyee will maintain their current status. When acting upn a PAR fr an emplyee with exempt r any type f OPS status, the status expiratin date will default t 12/31/9999. Edits are in place t prevent the assignment f prbatinary status fr SES/SMS and OPS emplyees. Direct Entry Updates can be made t the emplyee s appintment status screen thrugh direct entry. Direct entry updates can nly be made by users with an HR security rle cde. Prbatin Extensin Date can nly be updated if an emplyee is currently in a prbatinary status. Extensins shuld nt result in a prbatinary perid lasting beynd 18 mnths. Any update made t the emplyee s current prbatinary appintment status recrd will result in the future dated permanent status recrd being updated. Placing Emplyees in Trainee Status When acting upn a PAR fr an emplyee resulting in an emplyee being placed in trainee status, the fllwing steps shuld be taken: Update the status t the apprpriate trainee status when acting upn the PAR. Update the end date and appintment status expiratin date t 12/31/9999. This will create a training appintment status recrd fr the emplyee. Once it is time t mve the emplyee frm trainee status t prbatinary status, g t the emplyee s trainee appintment status recrd with an end date f 12/31/9999. Thrugh direct entry, select edit and update the appintment status expiratin date t the last day the emplyee is in trainee status and select save (d nt change the appintment status type at this pint). 5 Appintment Status Details After making the change t the trainee appintment status recrd, g t the newly created trainee status recrd (effective date will be the prbatinary start date fr the emplyee). Thrugh direct entry, update the status t prbatinary and update the status expiratin date t the apprpriate prbatinary end date (date cmbinatin must result in a prbatinary perid f 12 t 18 mnths) and select save. After setting the prbatinary perid appintment status recrd, the permanent recrd will be created autmatically. ASD - 5 Last Updated n February 4, 2015
