1 The School Position Description Facilities Manager Hillbrook is an independent, co-educational secondary school in Enoggera, Brisbane. The School s motto, In Balance We Grow underpins life at Hillbrook, which prides itself on its focus on quality teaching and learning and a specialisation in the nurturing of adolescents. Position Title: Facilities Manager Reporting to: Chief Operations Officer Status: Role: Full-time, 5 days (38 hours) per week, 7:00am 3:00pm Responsible for the day-to-day management of the functions and operations of the Facilities Department to ensure all facilities of the School are well presented and maintained to a high standard, including responsibility for the security of School buildings and management of procurement of capital works and equipment. Key Responsibilities The Facilities Manager is responsible to the Chief Operations Officer for operational property and maintenance matters, including security, overseeing of cleaners, day-today property and equipment maintenance, capital works projects and the general care of all grounds and facilities. Key Functions Manage the campus facilities in support of the requirements of the School. Ensure all Occupational Health & Safety (OH&S) practices and procedures are implemented and followed at all times. Ensure the safety of all students and staff. Coordinate and provide property and maintenance services. Ensure the campus presents as an attractive environment. Maintain facilities, equipment and services needed to provide high-quality education throughout the School.

2 Operate within the guidelines of practical budgeting and value for money procurement processes. Personal Attributes to carry out the role Demonstrated multi-skilled handyperson ability, and the ability to take a hands-on role approach. Demonstrated ability to work in a team environment and capacity to coordinate facilities staff and volunteers. Awareness of and the ability to embed OH&S practices and procedures. Demonstrated ability to arrange and provide oversight of contractors. Demonstrated ability to use and learn maintenance related computer systems. Specific Functions 1. Building and Property Maintenance Maintain buildings, fixtures, fittings and services in a serviceable and usable condition and in accordance with OH&S guidelines Repair/purchase and/or replace all damaged items in buildings/fixtures/fittings etc. (and/or arrange for same through approved contractors) Develop and maintain a preventative maintenance program covering all aspects of facilities and maintenance. Ensure delivery of maintenance plan within specified timeframes and budget. Coordinate the work of employees engaged in property and/or maintenance duties including cleaning, grounds, security and maintenance Responsibility for fire services equipment, ensuring routine checks are in accordance with relevant legislation. 2. Grounds & School events Ensure the schedule of external building and garden maintenance is planned for and completed on a regular basis. Assistance in a hands-on role is required. Maintenance of existing gardens and grassed areas, with the development of new gardens and the improvement of existing areas. Ensure that grounds are kept to a high standard at all times, and that staff and external contractors are managed to ensure these high standards are continually maintained. Work with the school in adopting a conservation-minded approach by supporting energy, recycling and water conservation practices. Setting up equipment and furniture for special School events such as Parent Information Evenings, Parent/Teacher interviews, P&F activities, Hillbrook in Action, Family Day and sporting carnivals (including marking the school oval for physical recreation activities). Liaising with external parties in relation to requirements for hire of facilities including cleaning, access and security requirements.

Cleaning Develop and maintain a cleaning schedule for the School s cleaning staff covering daily, weekly and school holiday routines Liaise with cleaning staff to ensure high standards of cleaning is maintained and that all improvement strategies are implemented. 4. Security Exercise overall responsibility for the daily security of the premises via the cleaning staff. Online maintenance of the School s building security system and liaison with the school s security monitoring supplier. There may also be a requirement to travel to the School during the evening in the event alarms are activated. Assist with the allocation and record keeping of security codes and keys Tag all items with identification codes and maintain details for inclusion in asset register. Learn and use maintenance related computer systems. 5. On-going minor works and capital works Management of the School s major facilities contractual arrangements, including liaison with suppliers and contractors for the supply of goods/services and undertaking of general and unforeseen maintenance tasks and planned capital works. e.g. Cleaning contractors, electrical and plumbing services, building contractors. Undertake role in planning, costing and developing new capital works program and budget on an annual basis. Procurement of goods and services within budget, adhering to the School s procurement policy. Liaise with Contractors, Building Management and Architects with new building projects, ensuring timeline is adhered to and quality of workmanship is obtained. 6. General Ensure the Vision, Mission and Values of the School are embedded into all areas of our community With reasonable notice given, be available to provide assistance with practical arrangements for functions, excursions and specific projects as directed by the Chief Operations Officer. Support the School s The Broken Windows Principle by ensuring that vandalism and graffiti are rectified as a priority. Support the School by maintaining an awareness of Workplace Health & Safety and similar regulations, and codes of practice, their implementation and adherence to; including the maintenance of the School s Chemicals Register. School Vehicles: assist with the maintenance of service schedules for School vehicles and vehicle servicing.

4 Prepare management reports and make recommendations to the School s Senior Leadership Team (SLT) in respect to facilities and maintenance issues. Coordinate fire and lockdown drills each term. Be involved in the long-term vision and planning for the School. 7. Financial Duties These duties are conducted in conjunction with the Chief Operations Officer: Undertake a lead role in the preparation of an annual Facilities Budget, in line with an annual capital works plan and rolling maintenance schedule. Be responsible for ordering of goods and services associated with the Facilities Budget in line with the School s procurement policy. Essential Competencies The ability to work accurately, flexibly and efficiently. The ability to work productively, even without direct supervision. The ability to prioritise where there may be multiple competing tasks. The ability to respond to enquiries from the school community in an articulate, pleasant and professional manner. The ability to produce work of a high standard, using applications such as Microsoft Word and Excel. The ability to contribute towards the creation of productive teams. Possession of, or eligibility for, a Working with Children suitability card. Qualifications and Experience: Please include any details of appropriate qualifications and experience. Conditions, entitlements and benefits: The position is full-time, 5 days (38 hours) per week 7.00am to 3.00pm. Annual leave accrues at 20 days per annum and includes a summer holiday leave loading. Sick leave accrues at 10 days per annum. Employer superannuation of 12.75% is available where staff make voluntary contributions of 5%. Employer super is paid in addition to salary.
