4 1. Intrductin This dcument illustrates the general handling requirements fr all suppliers wh deliver t Van Marcke. It is made t guarantee an efficient ruting and handling f articles thrughut the whle supply chain int the VM Technics shp r the final custmer. The bjectives f this dcument are : 1. T prvide a fast and efficient delivery prcess fr all parties 2. T achieve a superir standard in supplier service levels 3. T ensure that deliveries are suitable fr strage in bth Van Marcke s actual warehuse cmpund as well as in the future semi-autmated EDC (2018) All deliveries are DDP (incterms 2010). It is imperative that all suppliers cmmit t the Van Marcke specificatins included in this vendr manual. Failure t cmply with afrementined specificatins may result in a refusal f prduct r penalties. 5 2. Safety n the site The nly entry t the site is thrugh the guarded main gate. All drivers f vehicles must abide by the check-in prcedure and have fllwing dcuments readily available: 1. Waybill (CMR) unless exemptins apply (curier services) 2. Packing list and/r shipping nte 3. Legal dcuments like Identity card and driver s licence Failure t prcure these dcuments upn simple request may and will result in denying access t the Van Marcke premises. Especially NOS gds are susceptible t this measure. Befre entering ne shuld wear persnal prtective equipment such as safety shes and a flurescent vest. These must be wrn at all time n the site. A speed limit f 5 km/h is t be respected at all times. Bay znes & lading dck levelers : Security prescriptins t be hnred. Drivers shall nt perate any device n the Van Marcke premises apart frm their wn (vehicle r pallet jack). All hazardus prducts such as flammable liquids with flash pint belw 100 C must be stred in UNapprved cntainers. Deliveries f hazmat require specific clearance prir t unlading. (MSDS) Material Safety Data Sheet must be made available at Van Marcke prir t delivering the referred type f hazmat. Kids and passengers are nt allwed n site. 7 4. Unlading SLOT bking (as per 1/1/2017) Van Marcke will gradually intrduce the prcess f slt bking by vendrs and carriers. The aim f this intrductin is t better balance the wrklad by spreading deliveries during the day and week, thus aviding r reducing cngestin and waiting time. The suppliers cncerned will have t bk a delivery SLOT with the Receptin Planning. This is a twhur time perid n the delivery date in which the supplier has t present himself fr delivery f the gds. Delivery slts can be bked latest n D-1 befre 12:00 whereby D = delivery day. E.g : Supplier xxxxx SLOT Reference Number xxx Mnday 9 th f Nvember 12:00 p.m. -14:00 p.m. N supplier deliveries will be accepted withut a slt bking. In the event n slt has been bked, an emergency bking might be pssible. Hwever, Van Marcke des nt guarantee this pssibility, neither des Van Marcke cmmit t unlad an unfreseen truck in the shrt term. 8 5. Presenting a delivery at Van Marcke This sectin cntains an verview f rules f thumb every delivery shuld meet. Failure t cmply may and will result in denial f access t the premises and/r unlading the gds : 1. Dcuments must be cmplete and intelligible (see 6). 2. Each and every prduct needs t be delivered in the agreed packaging (see 9). 3. Each and every individual recipient (pallet/bx/crate/frame) must be labelled in accrdance with article f this brchure. 4. The quantity f the gds delivered must reflect the quantity mentined n the delivery papers as well as the quantity rdered n the purchase rder. 5. Gds pertaining t different purchase rders must nt be put n the same recipient (pallet/bx/crate/frame). Exceptins t this rule in view f ptimized lading need t be discussed individually. Hwever, n exceptins are debatable where deliveries f SKU and NOS are cncerned. SKU (stck) and NOS (n stck) must never be put n the same recipient. 6. If ne purchase rder cntains multiple SKU s that can be fit nt 1 carrier, an A5 label with the indicatin MIX must be stuck t all fur sides f the pallet. Hwever, the use f MIX-pallets needs t be minimized. In case a single SKU pertaining t a single purchase rder requires mre than ne carrier, the number f carriers cntaining that SKU need t be minimized. In ther wrds: SKU s need t be gruped n as few carriers as lgistically pssible. 7. The quantity f a specific SKU r NOS per carrier (pallet/bx/crate/frame) must always be the same and shuld never vary unless a change has been requested t, discussed with and agreed upn by Van Marcke. 8. In case f delivery t different (sub-) warehuses at Van Marcke it is required t prcure a separate packing list per delivery pint. Whether multiple warehuses need t be addressed, can easily be fund by establishing the different prefixes (first three digits) n the purchase rders delivered. 9. Delivery Paperwrk Each delivery must be accmpanied by a duly filled ut CMR and packing list stating the delivered prducts and quantities, including the Van Marcke purchase rder t which the delivery pertains. Upn arrival, the driver reprts t the main gate, presenting CMR & Packing List. A cpy f these dcuments can be attached t the carrier(s). CMR must list: Suppliers Name, Address & V.A.T number Vehicle license plate number Ttal number f pallets/cases Ttal Weight Incterm Date & time f delivery Packing List must cntain: List f carriers including their sequential numbers Purchase Order number f Van Marcke Van Marcke SKU ref number with reference t the carrier number Prduct cde f the supplier (identical t that n the prduct) + EAN barcde with reference t the carrier number Prduct descriptin Ttal delivered pieces per article, including backrdered quantity Clear indicatin f used Unit f Measurement The packing list must never cntain purchase prices Partial deliveries shuld be avided t the maximum pssible extent. In case, hwever, a partial delivery has been agreed upn by Van Marcke, a separate delivery with dedicated paperwrk (CMR & Packing list) needs t be prvided, clearly indicating that the delivery cncerned is an additinal delivery pertaining t a previus delivery. Additinally a clear mentin f the riginal PO r cmplaint needs t be prvided fr easy reference. 10 7. Vehicles characteristics The interir f the delivery vehicles cming t Van Marcke must be clean and dry and allw fr safe persnnel entry. The flr must allw fr a 2 tns frklift entry r heavier if the gds require such handling equipment. The warehuse perates with standard dck levelers t fflad standard vehicles. The bay height t the warehuse flr is +/- 1200mm. The dck levelers can be adjusted 150mm up r dwn. The bay is min 2100mm large. Generally, vehicles are unladed frm the back. 12 8. Prduct & Transprt Packaging specificatins 8.1. General Van Marcke aims at : Using packaging as a cmpetitive advantage by advcating user friendly, effective and attractive cnditining. Minimizing packaging csts by using the right material in the right quantity. Minimizing packaging waste. Reducing r eliminating damages t prducts PRIMARY PACKAGING Primary packaging is the packaging which is in direct cntact with the prduct. Generally, but nt exclusively, this type f packaging cntains mre than ne item f a certain prduct. It may ccur that there is n primary packaging Naked gds ( e.g. galvanized ½ 90 M/F) r (PVC 90 angle diam.100) As much as pssible, these prducts must have printed n r attached t them : A reference number A prduct descriptin A scannable EAN barcde. These prducts may cme in a secndary packaging like a cardbard bx r a bundle (see pint 8.3) Individually packed gds (e.g. bilers, tls, faucets..) Individually packed gds sld in unaltered cnditins must shw : A reference number A descriptin A scannable EAN-barcde. This type f packaging needs t be sufficiently strng and adequate t prtect the prduct it cntains thrughut the supply chain, allwing fr at least 7 individual manipulatins befre shwing any sign f tear and wear. Finally, if n secndary packaging is used, primary packaging needs t be sufficiently strng t supprt stacked cartns r pallets. As a rule f thumb, each packaging must be able t supprt a stack rising as high as the inner height f a trailer. VAN MARCKE DELIVERY TERMS AND CONDITIONS Versin /10/

13 8.3. SECONDARY PACKAGING Secndary packaging is the uter cartn r prtective packaging hlding ne r varius units f primary packaging in view f keeping prducts tgether r preventing them frm falling dwn. This type f packaging shuld allw fr at least 5 manipulatins befre shwing any sign f tear and wear. The use f secndary packaging shuld be minimized and nly used t prevent damages t the primary packaging r prducts. Excessive mvement space and/r the use f excessive dunnage is prf f inadequate secndary packaging. Secndary packaging must never cause gds t surpass the limits f the tertiary packaging, typically a pallet r similar. Labels n all 4 sides must be freseen mentining the SKU, descriptin and scannable EAN reflecting the crrect quantity inside the secndary packaging. By default this is a different barcde frm the ne figuring n the primary packaging. Additinally secndary packaging must be labelled n all 4 sides with a label mentining OMVERPAKKING. A secndary packing cntains nly 1 SKU by default and shuld be sufficiently strng t stack at least ne pallet n tp TERTIARY PACKAGING Tertiary packaging cntains bth pallets r similar and fil. In case EURO-pallets are used, they must be f an exchangeable quality. EURO pallets nt meeting the standards will nt be exchanged. Lng gds need be laded upn (wden) planks r beams with a height f at least 10 cm between each layer, fr easy access and unlading by a frklift. Fr further specificatins see pint 9. Max weight per carrier must nt exceed 1000 kg. E.g. in case 2 carriers are bund r strapped tgether, maximum weight fr the 2 tgether must nt exceed 1000 kg. 8.5 FILLING MATERIAL AND DUNNAGE In case filling material is used t blck and brace gds within its packaging, nly recyclable r bidegradable prducts can be used. E.g. paper, bidegradable bags r chips. Fam and plystyrene must be avided. Primary r secndary packaging can be clsed by means f tape, any kind f glue, ribbns and the like. Staples cannt be used fr risk f injury. Finally each and every primary and secndary packaging needs t hld the apprpriate labels like : VAN MARCKE DELIVERY TERMS AND CONDITIONS Versin /10/

14 8.6. Barcde specificatins Every prduct, bth SKU and NOS needs t have a unique identifier in the frm f a barcde in accrdance with the EAN13 specificatins. Mrever, if prducts are supplied t Van Marcke in different pack sizes, a unique EAN13 barcde needs t be prvided per pack size. E.g. a prduct delivered in bags put int uter bags and finally put int a cardbard bx, will require 3 different EAN13 barcdes. Pallet size, generally des nt require a separate EAN13 barcde unless ne pallet represents a sellable quantity. In the case that n barcde can be put n the prduct it is mandatry t put the EAN13 barcde as well as the SKU number and prduct descriptin n the recipient cntaining the prduct Origin f barcdes EAN cde can be prvided by the manufacturer EAN cde can be prvided by Van Marcke (fr private label prducts nly) EAN cde must be EAN13 symbl (cmbinatin f numbers and bars) r UPC-A (American equivalent f EAN13), GS1 128 (frmally EAN128) r EAN8 Clr 100% Black Minimum prprtinal reductin f 80% Maximum prprtinal magnificatin f 200% Barcdes must be in perfect quality and readable fr scanning T exclude the prblem f nn-scannable cdes ne shuld take int accunt t have a gd cntrast between backgrund clr and barcde. 16 8.7.3 Pallet labels Pallet labels must be stuck t all fur sides f the pallet and need t be readable and scannable at all times, regardless the usage f shrink r stretch fil. Labels need t be stuck n tp f the pallet r head height. 17 9. General pallet specificatins & pallet prcedures 9.1. Accepted pallet types Fllwing pallet types can be accepted by Van Marcke as they are up t the standards f the EDC : 1. EURO pallets (1200*800*144) 2. Industrial pallets (1200*100*144) 3. Large pallets (1200*1200*144) Custmized pallets can LM@vanmarcke.be. be used after prir written agreement by the Warehuse Manager All pallets must be in gd cnditin. This means up t EURO standard. All tp and bttm planks need t be present as well as all (crner) blcks separating the deck and the sleds. Frk access penings must always be in line with EURO standards Ti & Hi The Ti (tier) is the number f bxes per layer. Hi refers t the maximum height f the pallet The Ti must fit within the limits f the pallet used. N verhang will be allwed. Van Marcke can accept pallets with fllwing maximum heights (pallet included): 1200 mm (fr all prducts except thse referred t in the next line) 2200 mm (fr prducts whse dimensins exceed 1200 mm like shwer drs and bath tubs) VAN MARCKE DELIVERY TERMS AND CONDITIONS Versin /10/

18 9.3. Pallets and pallet stacks Afrementined Ti and Hi have been determined t perfectly match the strage pssibilities in the new EDC. T a very limited extent, exceptins are pssible. Each discussin needs t be individually discussed with the warehuse manager f Van Marcke (cntact details at the end f the dcument). In view f reducing ur eclgical ftprint we favur duble stacked full truck lads whenever the purchase quantity allws fr it. It ges withut saying that stacking pallets requires the packaging used, t be able t withstand transprtatin and handling frces withut shwing any sign f wear and tear Accessibility All gds, palletized r nt must be accessible fr Van Marcke persnnel in view f safe unlading. It is nt allwed fr Van Marcke persnnel t tuch r mve third party gds, even if access t the Van Marcke gds wuld require t d s. It is nly allwed fr the vehicle driver t mve gds arund within the bundaries f his prper vehicle with the sle use f his wn tls and pallet jack. In this case Van Marcke will nt be held respnsible fr any damage dne t persnnel, vehicles and gds. Finally, gds and pallets can be stacked safely and securely upn ne anther withut limitatin as lng as n harm whatsever can happen t the gds r packaging during transprt r handling. Van Marcke recmmends the usage f a prtective layer between pallets stacked, preferably made f wd r cardbard. In every case, hwever, gds must be easily reachable with frklifts in case they have been palletized. A free lifting space f 10 mm will be required. Sideways, pallets shuld nt be stuck r pressed behind dr prtals as this severely impedes unlading maneuvres and may cause damage t the gds. Delivering bulk-laded gds always needs t be discussed and agreed upn in advance between the vendr and Van Marcke. Bulk-laded gds still need t be easily accessible and allw fr ergnmical unlading. Please bear in mind that the weight f unpalletized gds shuld never be in excess f 25 kg. In case gds delivered t Van Marcke d nt meet afrementined requirements, Van Marcke reserves the right t ffer a billable slutin t the supplier. Van Marcke als reserves the right t decline unlading f a delivery if n agreement with the supplier can be reached Pallet weight The maximum weight f each and every carrier is 1000 kg. E.g. 2 pallets strapped r bund tgether must nt carry mre than 1000 kg f gds wrth. All pallets with ttal weight ver 1000 kg must have written apprval frm the Warehuse Manager f Van Marcke. 19 9.4. Clumnar bx stacking Interlck bx stacking The best stacking arrangement t prtect the uter cartns integrity is vertical clumns. When stacking clumnar, take care t ensure uters are stacked squarely n the pallet! Interlck stacking prvides a much mre stable platfrm than clumnar stacking, as each layer is arranged in ppsing directins. Althugh this type f stacking is mre stable, it drastically affects the integrity f the uter cartns Fixatin (wrapping-strapping) Stretch wrap made f lw density plyethylene (LDPE) must be used as a carg stabilizer. Wrapping must be dne in such a way that lad is secured t pallet, the latter being included in the stretch wrap. It is allwed t use crner prfiles made f recycled r recyclable material t prtect the uter cartns. In additin t wrapping, heavy r special size packages shuld be strapped with plastic ribbns nt the pallet. Plastic ribbns (plyprpylene r plyester strapping) must be applied using prper tensin settings as excessive tensin can lead t cartn breakage. Metal strips r ribbns are prhibited fr safety reasns. Pallet labels and barcdes must remain visible and scannable withut being hidden r bstructed. All pallets need t be safe & sure under 26 angle s they must pass the internatinal test f 26 angle, in cnfrmity with Ryal Decree lading security (static incline test 26 ). Gds placed n pallets must fit the cnfines r ftprint f the pallet 1200mm x 800mm. N verhang will be allwed. VAN MARCKE DELIVERY TERMS AND CONDITIONS Versin /10/

Truck r cntainer lading The vehicle must be adequately equipped t secure the lad in cnfrmity with The Eurpean Best Practice Guideline n Carg Securing fr Rad Transprt EN If cntainers and/r pallets are fumigated, cntainers@vanmarcke.be Van Marcke must be infrmed theref via The designated transprter must hld all necessary permits (driver s licence, pssible dangerus gds licence) and need t deliver the gds by means f a CMR dcument. These dcuments must be readily available upn simple request in case f need. In case f gds cllectin at Van Marcke, a CMR-dcument needs t be made available by the recipient f the gds r the driver fr Van Marcke t fill ut. Trucks r cntainers have t be laded s that labels are visible by anyne unlading r verifying the gds. Mind that prir t unlading, every lad will be subject t a standard acceptance prcedure that might result in a refusal t unlad. The pallets shuld be fixed with dunnage bags (preferably made f paper n the utside) were needed t avid mvements f the carg during transprt (each empty pen vid between duble stack and single pallets shuld be filled by a dunnage bag). General rule: If yu add up all the empty vids f the ttal width f the cntainer and the ttal is >150mm then a dunnage bag shuld be used. 21 9.7. Pallet exchange prcedures Van Marcke Distributin Center wrks with standard EPAL certified Eur pallets. Epal pallets & Din pallets must be exchanged immediately n delivery. Failure t exchange pallets upn delivering gds t Van Marcke can and will result in waiving claims fr exchange at a later stage. Only pallets in gd shape are eligible fr exchange. Van Marcke hereby refers t the EURO-pallet standard manual. A quality check f the pallets delivered will be part f the acceptance prcedure. Bth pallets delivered and pallets exchanged must be marked n the CMR. Purpse-made dedicated packaging (e.g. metal frames) will be kept at Van Marcke fr a shrt perid f time and must always be claimed back within the shrtest pssible delay. Failure t pick-up this kind f packaging within ne mnth upn delivery, may result in a rental fee fr space ccupied. All ther types f pallets r custmized pallets will nt be exchanged nr returned. 9.8 Licence Plate Number (LPN) Each carrier (pallet r ther) needs t have a unique identifier, being the LPN. This identifier needs t include a scannable barcde in accrdance with the barcde types mentined earlier in this manual. VAN MARCKE DELIVERY TERMS AND CONDITIONS Versin /10/

22 10. Damaged gds Damaged gds as a result f packaging failure will be examined by Van Marcke. After evaluatin, suggestins t imprve will be discussed with the supplier. Hwever, individual agreements with vendrs and case by case agreements may apply. Gds damaged under Van Marcke s respnsibility r ther gds eligible t ptentially return t the vendr (RTV) will be separately stred and ffered back t the vendr in accrdance with the prcedure created fr that purpse. 23 11. Service Level (SL) All deliveries f the supplier have t be n time and in full. N partial deliveries allwed unless therwise agreed upn n a case by case basis. Therefre the service level is an average f tw cmpnents : In full is measured as the quantity delivery n the first delivery f the purchase rder divided by the rdered quantity (nly the first delivery is measured as this delivery has t be in full ). On time is measured as the abslute difference in days between the requested delivery date and the actual delivery date f the first delivery. 25 12. Van Marcke Ordering system 12.1 Order placement Orders will be sent t the supplier by XML (EDI) r . The rder will cntain a purchase rder number which is unique t that specific rder and must be identifiable and cmmunicated n all dcumentatin/cmmunicatin. An rder will always cntain fllwing infrmatin: Purchase rder number Stck rder (=Whse n - 8digits n ) e.g Name and address f supplier Order date N stck (=R 7 digits n ) e.g. R Requested delivery date (fr stck rders), ASAP (fr n-stck rders) Ordered items with their quantities (pssibly cnverted t the vendr s UM) Delivery address Cntact details f the stck keeper Any changes t these details always has t be agreed/apprved by Van Marcke s stck keeper assigned t the supplier, even when asked by ther Van Marcke s departments Order cnfirmatin Upn receiving the purchase rder, the supplier has t check availability f the items. Within 3 wrking days after receiving the rder, the supplier has t send an rder cnfirmatin t LCC@vanmarcke.be r by XML (EDI) with at least the fllwing infrmatin: Van Marcke rder number Delivery date f the cmplete rder r delivery dates f each item. Any changes r remarks t the purchase rder have t be cmmunicated by mail r phne t the stck keeper assigned t the supplier.
