It harnesses the growth of the SAP database and manages the archived electronic documents linked to SAP objects. CommonStore is seamlessly integrated with the SAP Business Workflow. CommonStore for SAP V8.1 provides secure document archiving for users of SAP. The basic CommonStore solution with Tivoli Storage Manager (TSM) can be alternately extended with Content Manager and/or Content Manager OnDemand, to provide the foundation for broader enterprise content management. 2 Description IBM CommonStore for SAP is an e-business solution for data archiving and document management that helps SAP users run their business more efficiently and meet the challenge of today s marketplace by: Lowering operational cost Improving workforce productivity Enhancing customers service Sharpening your organization s responsiveness CommonStore for SAP support archiving of SAP R/3 data. Regular archiving of old and unneeded data from SAP R/3 is recommended to maintain optimum online performance in using SAP and to minimize time required for database backup and recovery. CommonStore improves the business processes in an SAP environment by allowing the access of archived documents directly from the SAPGUI. CommonStore for SAP can be implemented with Content Manager to provide an enterprise solution that covers all areas of data and document archiving for SAP R/3 and other enterprise applications. CommonStore for SAP allows enterprises to store their mission-critical information assets on optical jukeboxes or tape robots, and makes them accessible for the SAP R/3 users at the click of a button. CommonStore for SAP seamlessly integrates Content Manager and Content Manager OnDemand and Tivoli Storage Manager with SAP R/3 using the defined SAP ArchiveLink interface. It has been certified by SAP AG as a complementary software product, and it supports all types of data and documents defined in the SAP ArchiveLink specification. What s New in V8.1 CS SAP supports the DocUpload feature of SAP R/3, which allows customers to import into SAP documents which normally wouldn t have a link in SAP. With CS SAP V8.1, the DocUpload feature support has been updated so that it can be used with SAP V4.5 through V4.1 CS SAP supports user exits to integrate external (Compart) tools to extend the functionality of the CommonStore solution. One example for an external application is a Business ner tool that converts SAP documents to TIFF before they are actually archived by CS SAP. Since SAP has redesigned their ArchiveLink interface to support new Web technologies (keyword: HTTP protocol), CS SAP is following that path. The user exit architecture has been redesigned based on Java in CS SAP V8.1. The Java exits will also allow developers to plug in other programs or tools to customize CS SAP as well. CS SAP V8.1 will have features and enhancements for improved support of high-volume print-archiving with SAP. In particular, CS SAP will support the forms management and overlay application from Lasersoft that many customers use for high-volume printing with form overlays (Lasersoft is one of the market leaders in this area). Multiple archiving allows documents to be stored simultaneously into more than one CommonStore Archive, essentially to perform a dual write, which provides an immediate backup copy. Note: This new feature applies only when using TSM as the backend archive repository. If multiple archiving is implemented (when a user is retrieving items from their SAP GUI user interface), the system looks at the first available TSM CS SAP archive system. CS SAP V8.1 captures system performance data in the CS server log file. Logged CS SAP activity data will provide information to allow a customer to optimize machine load (for example, the optimal number of processes agents and dispatchers for their given workload, in a specific environment). Customers may then implement reporting and analysis tools to evaluate, analyze, and create necessary required reports. In CS SAP, each CS Server is configured to support one SAP system. In CS SAP V8.1, the CS Archiving Client can now utilize different document queues, whereby each queue may communicate with a different CS Server. In this multiple SAP System/CS Server model, the CS Administrator defines the CS Server-to-document queue relationship, then the scan station user simply selects the appropriate queue to start the scan/archiving process. This feature can be used from any workstation where the CS Archiving Client is installed. CS SAP V8.1 exploits the SAP R/3 DocFinder feature, allowing SAP users to search all content stored in the backend archive, not only items linked to SAP records. When CS SAP is implemented with, for example, Content Manager as the backend archive, the Content Manager archive will likely contain both SAP-archived items (data and/or documents) and documents associated with other or non-sap business applications. With the SAP DocFinder and CS SAP V8.1 from the SAPGUI user interface, the user may search and find all pertinent items both those associated with SAP records, and those that are not. Non-SAP items may be viewed through standard SAP internal viewer or by using a browser. Better integration with High Availability Cluster Multiprocessing (HACMP) by Datatrend Technologies, Inc.. Because CommonStore supports the SAP systems and backends running in High Availability mode, no restart of CommonStore is necessary, and there s no loss of data. Kofax Ascent Capture Release Module for IBM CommonStore supports high-speed, high-volume scanning directly into IBM CommonStore archive systems. 4 Security, Auditability, and Control IBM SAP V8.1 uses the security and auditability features of the host hardware or software. The customer is responsible for evaluation, selection, and implementation of security features, administrative procedures, and appropriate controls in application systems and communication facilities. Ordering Information Charge Structure: Server, Registered User Usage Restrictions All orders for this product are placed through Passport Advantage: Order the appropriate number of License and Maintenance (one- or two-year) authorizations that meet your requirements. Order Media Packs separately from program licenses to receive shipment of the appropriate program media. Current licensees of Content Manager CommonStore for SAP V7.1 are entitled to the new Content Manager CommonStore for SAP (CS SAP) V8.1. If you do not receive an automatic shipment of CS SAP V8.1, call the Passport Advantage Maintenance/Subscription center and request shipment of the CS SAP V8.1 media pack. If you are currently licensed for CS SAP V7.1 or earlier, and you are not on active Software Subscription or Maintenance, you may purchase Maintenance After License on the IBM CS SAP to become eligible or entitled to request the new CS SAP V8.1 media pack. SAP (CMCSSAP) Program Server Installs Your license to CMCSSAP entitles you to install one instance of the program server on one physical server or node. One CMCSSAP program server license authorizes you to access one SAP production system only (refer to below). To install additional program server instances on the same or on additional physical servers or nodes (to access one common or additional SAP production systems), you must acquire additional PoEs. SAP Production System A SAP installation consists of one production system and usually up to two or three other SAP systems (for example, for test and integration) that are identified by a common, unique SAP installation number. If, for example, a SAP installation does not consist of a production system but only a test and integration system, then one CMCSSAP program server license is required for each SAP installation environment. Since each SAP system (for example, the production system) can consist of multiple servers (one database server and one or more application servers), the licensing of CMCSSAP is not bound to the number of hardware components (SAP server systems). Users You must acquire a CMCSSAP user authorization for each end user who will access the archive through a CMCSSAP program server to archive, restore, and/or retrieve either/or: 1. SAP data-archive files 2. SAP documents (incoming documents, such as faxes and scanned images, reports/print lists, outgoing documents, external documents, and desktop objects associated with or linked to SAP transactions and business objects, and documents stored in the SAP Document Management System) The total number of users may not exceed the number authorized by the applicable PoEs or authorized by each product authorization acquired under Passport Advantage. Otherwise, you must notify IBM or its reseller as stated in the IBM International Program License Agreement (IPLA).
