That dream starts by planning your year of program and then executing a fundraising strategy to make it happen. You can fund 100% of that dream through your unit popcorn program. In fact, the unit commission has increased to a maximum of 38% this year, making it even easier to fund your dream program. In addition, when your Scouts are out in the community, proudly wearing their uniforms as they sell, it raises the awareness of Scouting. The Popcorn Program also helps our Scouts learn things like goal setting, money management and people skills. Please use this guide as your first resource to a great sale. In addition, you can find more resources at yuccabsa.org or at trails-end.com. We also have a great team of volunteers and Yucca Council staff ready to assist you. 3 IYOS The Ideal Year of Scouting The Ideal Year of Scouting or IYOS, is a proven method for improving your unit program. This method is designed to help your unit do several things: 1. Improve and increase the participation of your Scouts in the planning of their own program. This will increase their level of ownership in their Scouting program leading to better retention and a highly motivated Scout 2. Gain participation from more parents 3. Make your fundraising through popcorn more efficient and profitable 4. Teach your Scouts how to earn their own way 5. Spend more time on Scouting and less time on fundraising STEP 1 PLAN YOUR PROGRAM (May June) This may seem obvious, but in order to effectively fund-raise, you need to have a reason. What better reason than an awesome year-round Scouting adventure? So let s start there. Planning your unit s program takes the entire unit. You should involve your Scouts, their parents, the unit committee, your Scoutmaster or Cubmaster, and even your chartering organization. Involve everyone and make a party out of it. Ask your Scouts what they want to do this year and write them all down. No idea is a bad idea (even if it s not a realistic idea). Besides the ideas of your Scouts, where else can you get program and activity ideas? How about your District and Council calendar of activities? The Yucca Council has a robust schedule of activities for your Scouts to enjoy. Don t forget about opportunities at high adventure bases like Philmont Scout Ranch, Florida Sea Base or Bechtel Summit Reserve or any number of other cool experiences around the country. Remember, this is your dream program. So here s the big question. Whose responsibility is it to organize this program planning activity? Rely on your unit s Committee Chair to put this together. One of the primary responsibilities of the unit committee is to lead the program planning for your Pack or Troop. This is not the role of the Popcorn Kernel. Does your unit need help in planning their program? This is a great opportunity to ask your Unit or District Commissioner for assistance. These experienced volunteers are a great resource for you. There are also numerous resources online, including those at yuccabsa.org. Look for some resources specific to IYOS located on the popcorn page on our website. Trails-end.com also has some good videos and other resources on their website to help you. STEP 2 BUDGET FOR YOUR PLANNED PROGRAM (End of June or early July) After you ve planned your dream program for the Scouting year, it s time to build a unit budget. This is when you assign a cost to all of the activities you will do for the next year. For example, you might know that it will cost $55 for day camp or $10 for that hike you have planned in the Guadalupe Mountains. Whatever they are, put them all down. Include things like travel or badges and patches earned. Don t forget about food for your events or annual membership registration. 3 P a g e

4 Now that you have a list of all of your activities and all of your expenses, it s time to add it all up. It s not uncommon to have a total cost of more than $150 per Scout family for a Cub Scout Pack or more than $400 for a Boy Scout Troop when you include summer camp. Whose responsibility is it to create this budget? You ve probably already guessed it. The unit committee is responsible, with your Treasurer taking the lead. So, for example, let s say we have Pack 123, with 30 Scouts, now has a yearly budget of $5,150 after going through steps 1 and 2. STEP 3 SET YOUR POPCORN GOAL (by July 31) Now that you have your unit budget set, it s time to set a popcorn goal. Based on the commission you can earn in the 2017 Popcorn Program, let s set your commission rate at 36% for this example. Take your yearly budget of $5,150 and divide that by 36%. You get a popcorn goal of $14,305 for Pack 123. Now you have to set a goal for your Scouts. That s pretty easy to calculate. Divide the Pack 123 goal by 30 Scouts. Now you have an individual Scout goal of $477 in sales to fund their dream program. Whose responsibility is it to complete this step? You re correct, it s still the job of the unit committee working through the Treasurer. Once the Pack and Scout goals have been set, those figures are communicated to the Popcorn Kernel and the families. STEP 4 4 P a g e COMMUNICATE, COMMUNICATE, COMMUNICATE (August) What good is a goal if no one knows what it is? Step 4 is to communicate that goal to your Scout families. This should be done several times, through several different methods. As soon as the goals are decided, let your families know at their next den or pack meeting. Do you have a newsletter, contact list or Facebook page? Put it out there. All of your families should know what the goal is for your pack to fund their dream program. This is the job of the entire unit leadership team. Trail s End has done research over the last few years related to units and Scouts that set goals. They sell about twice as much popcorn as units and Scouts that don t set goals. In order to fund your dream program, you will need all the help you can get. Scout families with a goal for popcorn sales will be motivated because they want to take part in their dream program. STEP 5 KICK OFF AND EXECUTE YOUR UNIT SALE (by Sept 23) LET THE FUN BEGIN! Step 5 is to hold a Unit Popcorn Kickoff. This is where your inner party planner and clown need to come out. Have fun with the kickoff. Start by showing your Scouts and their families the dream program they helped put together. Tell them about your unit goal and how selling popcorn will pay for the entire year. Break that unit goal down into individual goals for each Scout. Break out the pizza and ice cream. You probably have popcorn samples to share with everyone. MAKE IT FUN! Role play what happens when a Scout knocks on a door or speaks with someone at a store front. Make it goofy, maybe even a display of what not to do. Have the Scouts practice with an adult they know in the room. Show the video from Trails-end.com where the Scout talks about how to sell popcorn. You ll find it under the training tab. Talk about prizes. All the prizes. Make sure everyone has a copy of the prize levels form. There s some pretty awesome stuff on there. Don t forget about the Top Sellers Party on January 20 or the

5 blockbuster movie prize for Scouts that sell at least $700. Only the top 50 Scouts are eligible for the Top Sellers Party and you have to sell at least $1,000 in Popcorn to qualify. Do unit prizes for special things like first person to sell a military donation or chocolate lovers tin. Have as many of those prizes on display at your kickoff as possible. Scouts are visual and need to see what they can earn. Talk to the parents about the Trail s End Scholarship program. Whose responsibility is it to have a well-planned kickoff? That s right. That s the job of the Popcorn Kernel for your unit. You ll work with your other unit leaders to make sure everyone is invited, but it s your show. There are some great videos out there of units holding their popcorn kickoffs. Take a look at some of those online and the sample at Trails-end.com. Most importantly, MAKE IT FUN! STEP 6 COMMUNICATE SOME MORE (August November) Make sure you continue to communicate with your families throughout the sale. There are opportunities to award your Scouts mid-sale Unit prizes, popcorn sales in front of that store down the street to remind your families about and many other things. Do you need help picking up your Show n Sell order at the warehouse? Let your families know about it. Who needs more microwave popcorn or who has extra they want to trade out. Make sure your families know what s going on. Have announcements and reminders about deadlines and other dates at each den meeting or pack meeting. Be a regular in your unit newsletter and Facebook page. During the sale, this is the job of the Popcorn Kernel. Be a good communicator. STEP 7 WRAP UP THE SALE (November 6 December 11) You ve had a fantastic kickoff. You ve communicated with your families throughout the sale. Things have gone well. Now it s time to wrap up the sale. Make sure you do these simple things: Have a plan for collecting take orders, payments, prize orders, and even extra or leftover popcorn (remember, you can only return a small percentage of what you ordered, and only in full cases). Enter your final order online, taking into account any leftover popcorn you have from Show n Sell. Enter your prize order by the deadline (December 1). Schedule help at the warehouse to pick up your final Take Order popcorn. Award all the prizes to your Scouts at a fun meeting. Make sure your Unit has collected from your families so you can cover the ACH payment on December 11. It will be in the middle of the holiday season, so be sure you have made plans accordingly. Now that all the hard work is done, it s time to fulfill the promise to your Scouts and enjoy the holidays. This will take the Popcorn Kernel working together with the unit committee, especially the Treasurer. Keep good records so you ll have an easy time the following year. STEP 8 HAVE A GREAT YEAR ROUND PROGRAM Once the Popcorn program is over, deliver the great Unit program that was promised to your Scouts. That s the ultimate reward. Sure, a cool Lego set or a new tent is a great incentive, but the real reward is a program that will engage and retain your Scouts. Your unit has earned enough money to do everything they wanted. 7 ROLE OF THE UNIT POPCORN KERNEL THERE TO HELP YOUR UNIT SUCCEED Your first line of support your District Popcorn Kernel (see chart on page 6) Your professional support your District Executive Key responsibilities of the Unit Popcorn Kernel Ensure your unit completes the IYOS process Fill out and submit the Popcorn Commitment form by July 31 Organize your unit popcorn sale in order to meet and exceed your budgeted goal Attend the Council Popcorn Kickoff (your unit will earn 3% bonus commission) Organize and implement your awesome Unit Popcorn Kickoff Train your families how to sell popcorn online Communicate with families in your unit during the sale Maintain the popcorn inventory records during the sale Collect final popcorn and prize orders from your families Collect payments from your families and maintain records Input popcorn and prize orders by the required deadlines (see page 6) Submit master log (page 18) for prize verification by December 1 Your role as the Popcorn Kernel for your unit is to make your sale as successful as it can be. Your unit committee will set the goal for the sale during the program planning and budget process. Once you know the goal, communicate it to all of your families, breaking it down to individual Scout goals. Often, a large unit goal can seem overwhelming. But breaking it down, like in the IYOS example on page 4, to Scout goals can make it more manageable. A Scout goal of $477 amounts to about 25 orders on average, less than a whole sheet. Make sure you communicate regularly during the sale. A weekly communication is a great time to recognize and reward your Scouts as well as remind your families about upcoming popcorn events for your unit or other deadlines you have set. Also, be sure to give yourself enough time to complete all your order, prize, and payment collections to meet the deadlines. For example, your take order is due on November 7. You might want to set a deadline for your families to submit their orders by November 5 to give you time to compile your entire unit s order. There s always a straggler or two, plan accordingly. If you have questions or need help, please contact your District Popcorn Kernel. It s their responsibility to assist you. They have several years of experience with the popcorn sale and can answer most of your questions. Lastly, HAVE FUN! If you have fun planning, organizing, and implementing your unit s sale, your Scouts will have more fun during the sale. Make sure to have prizes or incentives specific to your unit that allow you to recognize and reward as many of your Scouts as possible. For example, maybe you plan a neighborhood blitz on a Saturday. Follow that with a pack picnic and cookout in the afternoon to wrap up the day. What a great time to recognize some of your Scouts. 7 P a g e Your best source for 2017 Popcorn Program resources

8 THE COUNCIL POPCORN KICKOFF 3% bonus commission when your Kernel and Scouts attend The Council Popcorn Kickoff will be held on August 19 th at Camp Pioneer, 3400 Girl Scout Lane in Sunland Park, NM. This year the kickoff is for both our Popcorn Kernels and our Scouts. Scouts who attend will take part in a short training about how to sell popcorn door to door or at a store front. It will be fun and informative for them. After the short training, they will be able to enjoy programs set up for them at camp. We ll have things like bb guns, archery, sling shots, a dunking booth and more! There will be no cost for Scouts who attend the kickoff and it includes lunch at noon. Each Scout will take home prize program information. Parents and siblings are invited to attend. We will begin the kickoff at 8:00 in the morning. Scouts, with their parents, can expect to be in their training for up to 45 minutes and can show up anytime between 8am and 1pm. Unit Kernels and other leaders can expect to be in their training for approximately 90 minutes. There will be two training sessions for Unit Kernels, 8:30am and 10:30am. Unit Kernels only need to attend one of the two sessions. We ll serve lunch, grilled hot dogs, etc at noon. Camp will close at 2pm. The kickoff is a great opportunity to ask questions, taste product samples, and learn how to enter your orders online or how to set up an online selling account. There will be samples to taste and prizes for participating. Also, it s a good time to talk to some of our more experienced popcorn selling units and share some best practices. Units that signed up for the 2017 Popcorn Program online by July 31 st will receive their drone at the Unit Kernel training session that they attend. 9 UNIT COMMISSION FOR POPCORN SALES Each unit will have the option of selecting between two commission structures. The maximum commission a unit can earn in the 2017 Popcorn Program will be 38%. Here are the details: COMMISSION OPTION #1 Your unit selects a base commission of 30% and will participate in the prize ordering program that is ordered through the Trails-end.com system. This is the best option for units that know the prize program motivates their Scouts to set and achieve a sales goal. COMMISSION OPTION #2 Your unit selects a base commission of 33% but cannot participate in the prize ordering program that is ordered through the Trails-end.com system. Occasionally a Scout unit has a super activity planned and needs that extra money rather than prizes. This option is for them. BONUS COMMISSION OPPORTUNITY (two opportunities) Units who have their Kernel and Scouts attend the August 19 th Council Popcorn Kickoff at Camp Pioneer will earn a 3% Bonus Commission for their unit. Also, units that average more than $300 in sales per registered Scout (compared to August 30 th, 2017 membership) will receive an additional 2% commission. PRIZE PROGRAM KELLER PRIZE PROGRAM This is our traditional prize program. Scouts select prizes based on their selling level. This prize program flyer is included with the order form. The order is placed through the prize order link at Trails-end.com and is shipped directly to the Unit Popcorn Kernel to award to their Scouts at a fun party before the holidays. *Units that select commission option #2 are not eligible for this prize program. $700 SELLER CLUB PRIZE Scouts that sell $700 or more in popcorn are members of the $700 Seller Club. Scouts at this level will receive 2 tickets (for him and a parent) to a December 2017 private blockbuster movie showing just for our Seller Club Scouts. 10 TRAIL S END SCHOLARSHIP PROGRAM The scholarship program is a unique opportunity available to our Scouts. When a Scout sells at least $2,500 in a single fall sales period they become eligible for the scholarship. Trail s End funds the program at 6% of the Scout s sales total. Once the Scout qualifies, all sales going forward qualify for the 6% Trail s End funding. For example, this year Daniel the Tiger Cub sells $2,500 in popcorn. Trail s End puts aside $150 into a scholarship account for Daniel. Next year, Daniel is a Wolf Scout and sells $1,000 in popcorn. Since he s already in the program, Trail s End will add $60 to his scholarship account for that year s sale. Your Scout s scholarship account will continue to accumulate throughout his time in Scouting. In addition it earns interest, growing over that time. Forms and more information are available at scholarship.trails-end.com. SPIN N WIN TOP SELLERS PARTY This party is for our top 50 popcorn selling Scouts in the Yucca Council. There will be prizes, food, and fun. To be eligible, Scouts must sell at least $1,000 in popcorn during the 2017 fall sale (this includes online sales). Our Spin n Win party will be held on January 20 th at Dave and Busters in El Paso. We ll begin at 2:00 PM in the afternoon. Each Scout can only bring only one other family member (adult) due to space limitations. RSVPs by January 6 will be required. No late registrations are accepted due to the nature of the event popcorn patch set: Help save Earth from Mega-Corn Mega-Corn The evil robot, Mega-Corn the Destroyer, has come to planet Earth to eat all of the world s popcorn. So Earth has called upon The Popcorn Squad, a group of brave and adventurous Scouts with super powers, to stop Mega-Corn before planet Earth is eradicated of all traces of popcorn! Scouts Can Earn All Six Patches: Participation: Sell One Item Online: Make One Online Sale Military: Sell One Military Donation One of Each: Sell One of Each Item Sellers Club: Reach Selling Goal (set by Council) Top Seller: Reach Top Selling Goal (set by Council) The Mega-Corn patches are ordered through the prize ordering system, even if your unit is choosing commission option #2. 12 12 P a g e HANDLING PAYMENTS Handling payments during the sale is a key part of the Kernel s management responsibility. There are multiple times and scenarios where popcorn money and payments are handled and you have to keep track of each of them. Handling Cash Payments at a Show n Sell Your unit is likely to set up a Show n Sell in front of a retail store. Make sure you have plenty of change available. Check your inventory before and after the sale and make sure the cash you brought in matches your inventory adjustment. You should allow your Scouts to take payments from customers but always make sure a responsible adult keeps the money box and makes change. The Scouts can interact with this adult to give payments and receive change. Handling Cash at other times When your Scouts turn in orders and money there will be cash. Have a receipt book and write a receipt for the cash, as well as the checks received. This will give you something to audit your inventory against later in the sale. Handling payments by check When your Scouts take a payment by check, make sure that the check is made out to your unit, NOT the Yucca Council. Write a receipt to your Scout family when they give you checks, you ll be happy you did. Take a credit card for payment Many units are finding it convenient to accept credit card payments. There are many vendors out there including Square and PayPal. Do your research. Make sure you have the funds from these set to deposit in your Unit Checking Account, never an individual s account. You ll have to eat a processing fee for this service, but average sales by credit card are higher than check or cash. You ll make up the difference and more with increased sales. Online Sales Online sales are handled by Trail s End through their website. Customers will pay there and will not pay you or your Scouts directly. Trail s End sends unit commissions to the Yucca Council quarterly. Unit commissions will be deposited into their membership accounts at the Yucca Council each quarter after payment is received from Trail s End. In 2017, the Unit commission for online sales has been increased to 40%. Paying the Yucca Council at the End of the Sale Units will no longer have to write a check at the end of the sale to pay for their popcorn. This year we re instituting unit payments by ACH. This is an automatic, one-time payment, set up through your unit checking account. Units will sign the ACH form by September 1 st authorizing the Yucca Council to draw the payment on December 11, Units can review their invoice at any time by viewing their account at trails-end.com. Unit invoices will also be printed and available at the final Take Order popcorn pickup. trails-end.com The place to set up your unit and Scout Online Selling Accounts

13 SHOW n SELL Popcorn Ordering Units can order a limited number of items to use for Show n Sell / Deliver popcorn. Because this sale is early in the fall, chocolate items are not available yet. Units can choose from: Small Caramel Bag Jalapeno Cheddar Bag White Cheddar Tin Premium Caramel Tin 18 Pack, Butter Microwave 18 Pack, Kettle Corn Microwave Sea Salt Caramel Tin Cheese Lovers Tin Orders are due online at trails-end.com by midnight on September 11. Popcorn Pickup for Show n Sell Popcorn pickup will be on Saturday, September 23 from 9am Noon. There are two locations for pickup this year: In El Paso In Las Cruces Dependable Relo Mesilla Park Church 8201 Lockheed 1040 El Paseo Rd El Paso, TX Las Cruces, NM Our popcorn teams will be busy sorting popcorn on Friday night, September 22. Volunteers that come and help sort on Friday night will be allowed to take their unit s popcorn that night. Popcorn Returns for Show n Sell Units are allowed to return popcorn that they don t sell during the Show n Sell portion of the sale that they don t need to fill their Take Order sales. Returns are limited, however. Units can only return up to 20% of the popcorn they pick up and must return in full case quantities. Do not mix products to make a full case of anything. Popcorn returns are due to the Yucca Council Service Center in El Paso, or to the XYZ warehouse in Las Cruces no later than 5pm on November 3, No returns will be accepted after this date as we will make the final Take Order based on returns. Even though limited returns are allowed, we encourage units to be realistic with their Show n Sell orders. There will be opportunities to check out additional popcorn throughout the sale if your unit needs it. Payments to Yucca Council for Show n Sell All payments to the Yucca Council will be made by ACH on December 11, Please don t forget to turn in your signed ACH form by September 1. 14 TAKE ORDER SALE The Popcorn Sale Begins Your unit s popcorn sale begins right after you hold your own unit popcorn kickoff. The Council Kickoff will be on August 19 at Camp Pioneer. Your unit should host their own kickoff between August 20 and September 23 to launch your Take Order sale. Popcorn Ordering This is your last chance to order popcorn. Your order is due on Monday, November 6 by midnight at trails-end.com. Remember to take into account any popcorn you have remaining from your Show n Sell. Make sure you also keep a master log of the total amount of popcorn each Scout is ordering. You need to turn that in to the Yucca Council by December 1, so that we can invite the top selling Scouts to the Spin n Win Party, Sellers Club Movie, as well as verify your unit prize order. Also, don t forget to account for any cash donations you receive as a military sale on your Take Order forms. This is important as it s against BSA policies for units to directly solicit cash donations. It s best to let people know that their donations will go toward sending popcorn to our military men and women. Popcorn Pickup for Take Order Popcorn pickup will be on Saturday, November 18 from 9am Noon. There are two locations for pickup this year: In El Paso In Las Cruces Armstrong Transportation Mesilla Park Church 8201 Lockheed 1040 El Paseo Rd El Paso, TX Las Cruces, NM Our popcorn teams will be busy sorting popcorn on Friday night, November 17. Volunteers that come and help sort on Friday night will be allowed to take their unit s popcorn that night. Payments to Yucca Council for Show n Sell and Deliver All payments to the Yucca Council will be made by ACH on December 11, Please don t forget to turn in your signed ACH form by September 1. Unit Prize Order Units must submit their prize order by December 1 at midnight, if you selected commission structure #1 on your Unit Commitment Form. This will ensure that you receive your prizes before the holidays. Units can submit their prize orders as early as November 7 when you submit your final Take Order. Keep in mind that prizes will not be released until your unit has turned in your master log of selling Scouts to the Yucca Council for prize verification (form on Page 18). 14 P a g e

15 SELLING POPCORN ONLINE Selling popcorn online is a great way to boost sales. This year, Trail s End is introducing a new and improved online selling portal for our Scouts. Scouts can create an account and set up a selling page, much like a page at GoFundMe. Special step-by-step instructions are available online at yuccabsa.org and sell.trails-end.com. When your Scouts set up their online account, you will notice that there are some different products for sale there. This will help add even more variety to your sale. There are also many of the same products we are selling. Because each council is allowed to set their own selling prices for their Council Popcorn Program, you may see the same product online selling for a different price. This is the same online price for all Scouts across the country. Unit commissions for online sales will be 40% beginning August 1, are paid quarterly and will be deposited into your unit membership or Scout Shop account. Scouts can take into account their online sales from August 1 through November 7 for prize eligibility. Units will need to download their online sales for their Scouts at sell.trails-end.com. TIPS FOR A GOOD AND SAFE SALE DO Say THANK YOU whether or not someone buys popcorn! DO: Wear your uniform. Everybody loves to support a Scout in uniform. DO: Sell with a buddy and a parent. Be sure to maintain TWO-DEEP LEADERSHIP at all show and sell events and while walking door-to-door. DO: Act like a Scout - be polite and courteous, wear a smile and introduce yourself. You are the face of Scouting. DO: Tell your customer about Scouting and how selling popcorn helps you fund your adventure. DO: Walk on the sidewalk and driveway, not through the yard. Watch for traffic. DO know your product - all the different types of popcorn products you are selling be prepared to answer Which is your favorite? DO know the date when you will be delivering the popcorn to your customers. DO put popcorn sale articles in your school, place of worship, and community bulletins, and newsletters. DO remind your parents, grandparents, aunts, uncles and neighbors what a great gift Trail s End Popcorn makes for teachers, friends, co-workers, etc. DO ask your parents if you can go to their office or club (Rotary, Kiwanis, Lions, bowling league, hockey league, etc.), to sell. Many business leaders give holiday gifts to clients and employees and Trail s End popcorn makes a great gift. DO write a thank you note and place a copy of it on all the Trail s End popcorn you sell. This will benefit you next year when you call on them. DO keep a copy of your Take Order forms so you can call on people again next year. DON T: Sell after dark. DON T carry large amounts of cash with you. DON T enter anyone s house under any circumstance. 15 P a g e
