4 Sale Information Commitment Form Please complete the commitment form that is included in this packet or at the annual kickoff meeting. An online form can be found at under the Finance/Popcorn tab. Please complete and submit the commitment form to the Council by August 8, This form is used to give you access to the Trail s End ordering system, where you will be ordering your unit s popcorn and prizes. You can , fax or mail it into the council office. Once you are set up in the Trail s End system, you will be ed a link to log in and choose your own password. Order Deadlines Your Unit s Show and Sell Order - orders are due on or before August 15 th. Orders need to be placed online at end.com. Order by the case for all of the items. Units are allowed to order up to 100% of what your unit sold in 2016 and for additional amount beyond 2016 please contact your District Executive at the Scout Office. Your Unit s Take Orders are due by October 23 th. Orders need to be placed online at Popcorn Big Spin N Win Party The top 100 Scouts that sell at least $1500 or more of popcorn, qualify for our Popcorn Big Spin n Win Party. If a Scout in your unit qualifies for the Popcorn Big Spin n Win Party, please complete the form found on our website under the popcorn page. Please forward it with their sales sheets to the council office by December 8, We will send them an invite to the party to be held on January 20, Please don t forget we don t want to miss anyone! $2,500 Scholarship Form At the end of the sale any Scouts selling $2,500 or more will qualify for a scholarship that Trail s End creates for them. Trail s End will then contribute 6% of their sales to their account. Each Scout who has an established scholarship account will have 6% of any amount of sales contributed to that account each year by Trail s End. Please submit their sales records and scholarship form to the council office by December 8, Once the Council receives the scholarship forms and supporting sales sheets, they will be verified and forwarded to Trail s End for processing. Payment Payment in full is due in the Scout Office by December 8, You will receive a billing statement in the mail and by 2 weeks after the final popcorn distribution, or you can go into the Trail s End site at any time to see your balance due. Payments must be made to the council office in Reno, in person or by mail, in the form of one check made payable to BSA, by 5 pm Dec. 8, Units that do not submit payment by December 8 may loose the on-time commission of 5%. Commission Payment Unit invoices will be mailed and ed out to the Popcorn Kernel listed on your Commitment Form - 2 weeks after the November Take Order Distribution - with your final amount due to the Council. You will keep your commission portion of your sales. Please wait for your invoice to verify your final balance before sending in your payment. 4

5 Show and Sell Restock Fee Units returning $1,500 will be loose 5% of the unit s commission for a restock fee. Units that sell more than $10,000 may return up to 15% of their sale before the restock fee of 5% affects their commission. Take Order Increase Units that increase their take order sales over the prior year will earn an additional 5% commission on all sales done through the take order. This commission is only on the take order sales and not overall sale. Selling Tip: - 1. Always Wear Your Uniform 2. Always Smile and Introduce Yourself 3. Logging on to the Trail s End website to process your Orders After reviewing your unit s previous year s sales, determine the amount of popcorn you would like to order for the Show and Sell order. Once you have done that you will go to the Trail s End system. Trail s End has a new and improved website. Please see the reference guide for Unit Leaders for information on how to use the new Trail s End website. 5

6 Popcorn Distribution and Returns Show and Sell and Take Order Popcorn Distribution Locations: Reno/Sparks Lassen, Pinenut, Northstar, & Sierra District units will be at RC Willey, 1201 Steamboat Parkway, Reno Nevada on Friday Sept 8 th. Saturday Sept 9 th (Show and Sell) will be done by appointment only through your District Executive. Friday November 10 th (Take Order) will be held at the Scout Office. Please use the online reservation form to schedule your popcorn pick up time if you are with Sierra, Pinenut, Northstar or Lassen Districts. We will do our best to have your order ready when you come to pick it up so you can check, and double check it before you leave. Elko Overland and Bristlecone units will be 9am till 11 am on Saturday Sept 9 th (Show and Sell,) and Saturday November 11 th (Take Order). Contact Evan Pollock at to schedule. Fallon Pony Express District will be on Friday Sept 8 th (Show and Sell) and Friday November 10 th (Take Order). Contact Katie Provow at to schedule. How Many Vehicles Do I Need? Use the following estimates to know how many cars/volunteers you will need when you pick up your order: Car: 20 cases; SUV, Mini Van, Trucks: cases; Full Size Van: cases. You must take your entire order at your pick up time. All Show and Sell returns need to be made to the council office at 500 Double Eagle Court Reno, NV on Monday October 16 th, Any popcorn you still have after that date is not returnable to the council it is considered to be bought by your unit. Please return any unsold Show and Sell product in their original cases to assist in processing. Only full cases will be accepted. No containers (individual bags/boxes). Absolutely No chocolate products will be accepted for returns. Only full cases may be returned. Unit to Unit Popcorn Transfers All trades between units must be on the Nevada Area Council Popcorn Transfer Form and must be ed to popcorn@nevadabsa.org. Sorry mailing and handing in the form will no longer be accepted. The form may be completed and a picture by a cell phone may be ed or you may scan the form. 6

The Unit Kernel will submit each scout s choice online at the Trail s End website no later than Monday October 23 rd and can be made prior to that date if your sale is complete.

Council submits prize orders to Trail s End as soon as your order is verified and approved. Please don t miss this deadline.

Every Scout who sells one popcorn item earns a Trail s End popcorn patch or pin. Each Scout may select ONE prize from the sales level reached. The Unit Kernel will submit each scout s choice online at the Trail s End website no later than Monday October 23 rd and can be made prior to that date if your sale is complete. Please be sure you don t forget any scouts, double check everything!! We do not have extra prizes in the event a scout s prize was not ordered. The address in Trail s End popcorn system is where prizes will be shipped. $ Club---Each Scout that sells a minimum of $650, including on-line sales, will receive a Z-Curve Bow with 2 Firetek Rockets for Cub Scouts or a Camp Cooking Set with Utensils for Boy Scouts. Please see the prize brochure for specific prizes. This year s prize levels are as follows.. $75, 125, $175, $275, $375, $575, $825, $1,100, $1,650, $2,000, $2,750, $3,500, $4,500. Fill It Up! Fill up a whole order sheet with different customers on each line and be entered to win a Ruger 10/22.22 Rifle on September 28 th or a Nintendo Switch on October 12 th. Copies of each Scouts form must be submitted in the Scout Office or to popcorn@nevadabsa.org. Forms must be submitted by 9/27 for the drawing on 9/28 or by 10/11 for the drawing on 10/12. Top Military Sales---The Scout that collects the most Military Popcorn Donations will host a Medevac Helicopter that will land at your school for the day. The helicopter personnel will give tours and hands on information for everyone in your school. Popcorn Big Spin N Party The top 100 Scouts that sell at least $1500 or more of popcorn, qualify for our Popcorn Big Spin n Win Party. If a Scout in your unit qualifies for the Popcorn Big Spin n Win Party, please complete the form found on our website under the popcorn page. Please forward it with their sales sheets to the council office by December 8, We will send them an invite to the party to be held on January 20, Please don t forget we don t want to miss anyone! Top Selling District Scout The Scout that sells the most (at least $2,500 is required to qualify) in his District, will win a $250 Gift Card. And he will be Invited to Popcorn Big Spin n Win Party. Top Selling Council Scout The Scout that sells the most (at least $5,000 is required to qualify) in the Council, will win a $500 Gift Card and receive a Trophy at the Popcorn Big Spin n Win Party. PLUS a Free Trip to either Cub Scout Family Adventure Camp (1 Adult is included as well) or Boy Scout Summer Camp at Fleishmann as well as $5 for each day towards snacks. In the rare event that there is a tie, the winner will be determined by how many containers of popcorn they sold. 7

8 Star Wars 8 May the Force be with YOU! Be the first to sell $1,000 and get 2 tickets to the Nevada Area Council special showing of Star Wars VIII and if you attended the Padawan Training you will get your Jedi Master Trained patch. First 100 Scouts to submit their sales forms showing $1,000 in sales to the Scout Office or to popcorn@nevadabsa.org will receive 2 tickets. Scouts in their uniforms, sell more Popcorn. 9 Accepting Credit Card Payments There are several ways to accept credit card payments now. Please take the time to do the research on any program you may choose to use. There are card swipe devices that plug into your phone, ipod or ipad that let you accept credit cards quickly and easily. You can accept all cards: Visa, MasterCard, Discover, and American Express. You simply swipe the customer s card, have them sign directly on the screen, and send them an or text message receipt. It s simple. An innovative and unique card processing option: immediate, transparent, and userfriendly. Nevada Area Council uses Sage Payment Solutions. As a NAC unit you can use Sage as well if you wish to save time on paperwork processing during your initial setup. Just let Sage know you are with the Nevada Area Council. The money will go into your unit s bank account and Sage will service you. Trail s-end has now partnered with Square for credit card payments. Please see the attached documents from Trail s End at the end of the Leaders Guide. Unit Responsibilities Principal responsibilities of the unit Popcorn Leadership are as follows: 1. Follow 2017 Popcorn Dates and Schedule to meet all deadlines. 2. Attend the Popcorn Training / Orientation please check the website for times and locations. 3. Work with your unit committee to develop a unit sales goal. 4. Manage the collection of Scout popcorn, sales sheets and prize orders for your unit. Be on time per with ALL calendar dates. 5. Prepare handouts for a Unit Kick off meeting with your Unit for the Leaders, Scouts, and Parents. Handouts could include: a. Timeline showing sales dates, date orders are due, time and place to pick up popcorn. b. Unit goal and per boy sales goal. Explain how the commissions will be used. c. Letter to the parents, to explain the importance of the sale to parents, Scouts, Unit & Council. Tell them about the Popcorn Big Spin n Win Party and the scholarship program. Ask them to set up an online account for their scout for family and friends to order online from far away. d. Order forms, prize flier, and money envelope. 9

10 6. Hold a unit popcorn kickoff and disperse paperwork to leaders, parents & Scouts. Discuss goals, sales techniques, money collection safety suggestions, and key dates. Build excitement around the sale! 7. Access the Trail s End website to become familiar with the system. You will be placing your popcorn and Prize orders on the website. Take the time to get familiar with the system. Add your scouts to the system to save some time when they turn in their Take Orders. (Don t forget to subtract any popcorn they have already given out from their sales sheets so you don t order it again!) Submit your unit s Show and Sell popcorn orders by August 15 th and Take Orders by October 23 rd. 8. Establish a system for checking out/in popcorn to your Scouts if your unit is participating in Show and Sell. 9. Make arrangements to pick up your unit s popcorn at the scheduled time and day at the pickup sites on September 8 th and 9 th and November 10 th.. Make sure to bring enough vehicles large enough to accommodate your order. 10. Distribute popcorn to Scouts. 11. Remind Scouts of money due dates. Check throughout the sale to see how your Scouts are doing. If you are doing Show & Sell, if you find scouts that are not selling much, check in their popcorn and redistribute it to Scout s that are selling a lot. 12. Collect and tally money/popcorn by unit due date. Suggest they collect money at the time of the order when they are doing a Take Order. All checks and cash needs to be processed through your unit account and council should be paid with one check. 13. Submit: Unit Record Form, any Popcorn Big Spin n Win Party and Scholarship forms (with supporting sales sheets) to the council service center by December 8 th. Don t forget that scouts who already have scholarships with Trail s End do not need to reach $2,500 in sales every year to have qualifying sales to report. Please submit a scholarship paper for every scout who has an established scholarship reporting their sales, with supporting sales documentation for the current year. Please note Units should not be taking unit donations during the popcorn sale. Any donation jars or donations obtained during the sale need to be converted into military donations. Please refer to the BSA Rules and Regulations, Cub Scout Leader or the Scoutmaster Handbook for rules about receiving donations. Chocolate Lovers and Cheese Lover s Collection containers cannot be opened and sold separately. These items are to be sold by the whole container as you receive them. Also all of the microwave individual bags are not labeled for individual sale. They need to be sold by the whole container and not opened. 10
