2 The 2016 Coastal Georgia Council Trail s End Popcorn Sale Last Year s Results Average sales per unit- $4295 (up from $3750 in 2014) Average sales per Scout-$129 (up from $112 in 2014) Physical sales: On-line sales: Total: $335,020 $18,337 $353,357 ******************************************************************* SPECIAL NOTE ABOUT PRIZES There are 2 separate sources of prizes. You have prizes through the popcorn company and you have them through our Council. Trails End prizes MUST BE SUBMITTED ONLINE WITH YOUR POPCORN ORDER IN NOVEMBER! The Council is not responsible for ensuring that you make that order on time from Keller Marketing (there is a deadline of Friday, Dec. 16 th but there will be no guarantees the prizes will still be available). PLEASE keep a record of the prizes you ordered and confirm that it went through successfully. WE WILL NOT APPROVE ANY ORDERS AFTER DECEMBER 31, 2016!! Council prize submissions are more flexible. The Council Shoulder Patches will be given out as the qualifying order forms for the bi-weekly drawings are turned in (when possible). Top Unit winners will be contacted no later than Friday, Dec. 16th (units MUST have settled their accounts by Friday, Dec. 2). Drawing winners will receive their prizes as quickly as possible depending on shipping times. Top Scout winners will also be contacted by Friday, Dec. 16th (their Unit MUST have settled their account before they can receive their chosen prize). 2

Fill-it-up/$600 Club Turn in a copy of your order sheet that either has all 30 lines filled with orders OR the total of the orders equals $600+ (qualifying sheets MUST be turned in by 5PM Oct. 21) Each entrant will receive a $10 Scout Shop Gift Card o You can enter as many sheets as you like per week but only one reward per Scout will be given each week (i.e. you cannot turn in 5 full sheets one week and get 5 gift cards but you can turn in one sheet a week for 5 weeks and get 5 gift cards). The deadline to turn any sheets in is 5PM Oct. 21 st. Each sheet turned in for the Fill-it-up/$600 Club will equal one chance to win. So if you turn in 5 sheets you get 5 chances! Bi-weekly Drawings (sheets are due 5PM on 9/9; 9/23; 10/7 and 10/21 with the drawing on the following Mondays) o Winner will choose a prize: Ripstik Caster Board OR a $50 Gift Card. Any youth that sells at least $600 will receive either a Stikbot Studio Pro (Cubs) or a 7 Function survival Tool (Boy Scouts and Venturers) o Units MUST order these with the online prize order through Trail s End at the end of the sale. GRAND DRAWING o ALL Scouts who enter will have their name entered into a Bonus Drawing. Winner will receive an invitation to the Council s Spin and Win Party PLUS a free spin! 4 $1,000 Club: $1,000+ in sales = A chance to go to camp for free (one entry per Scout)! o Boy Scouts will have a chance to win a week at Boy Scout Summer Camp in 2016 PLUS receive a $25 Camp Trading Post Credit o Cub Scouts will have a chance to win a session at Cub Scout Summer Camp in 2016 PLUS receive a $25 Camp Trading Post Credit Top 50 Club ($1000+ in sales to qualify): PARTY INVITE: The top 50 sellers in the Council will receive an invitation to the brand new Spin and Win Party! Scouts MUST sell at least $1,000 to qualify. Invitations will be for the Scout and up to 2 family members. See separate flyer for details. COUNCIL SHOULDER PATCH INCENTIVE! You can win a collectors patch by reaching the following sales goals: Sell $300 Sell $600 Sell $1000 Sell at least $100 in Military Popcorn Orders (Copy of qualifying orders must be turned in to receive this CSP) $10,000/10% Club Any unit that reaches $10,000* or more will receive a 10% discount at the Scout Shop for Unit purchases (ranks, merit badges, awards, etc.) for the following year. To keep the discount, Units will have to sell as much as the previous year plus 5%. So if you sell $10,000 this year, you will have to sell $10,500 next. *this is for units that did not sell $10k or more last year* 4
5 The Financing Your Unit s Ideal Year of Scouting 1. Plan What would be an Ideal Year of Scouting to your youth? Leaders? Parents? Brainstorm - use your district/council calendar. Don t forget Day Camp, Summer Camp, Day Trips and Camping Weekends! Put it all on your unit s calendar Calculate the cost of each event. 2. Budget Figure on 100% Boys Life ($12.84/year) Include BSA Registration fee ($25/year) Don t forget recognitions, awards, leader training, operating costs; include all the expenses of running a Scouting unit! Determine cost per Scout for your Ideal Year of Scouting. 3. Set Goals Determine how much your Unit s goal should be. Determine what each Scout s goal should be. 4. Communicate the Plan Hold Program Kickoff for your unit. Explain that reaching the Unit goal will help pay for program throughout the year! Which means less out of pocket money your families will have to spend!! 5. Earn the Money 6. Execute * Incidentally, units that follow this plan typically have better retention of boys, more boys participating in all activities; earn more Unit commissions and more parents who serve as leaders 5
6 Leader Fact Sheet Follow these 5 steps for a Successful Fall Sale! 1) Establish an annual Plan and Budget 2) Set a Unit Popcorn Sale Goal 3) Conduct a Unit Popcorn Kickoff to communicate the Program and Per Scout Personal Sales Goal to the Scout Families 4) Sell in the neighborhoods using the following methods: Take Order Show & Sell Utilize Blitz Days throughout the sale *Practice role-playing with the boys on the proper selling techniques, and the script to be used at the door. 5) Have small prizes/incentives on hand for the Scouts to earn every week (Optional this would be in addition to all the great Council provided prizes) Try the following ideas: Give a gift certificate to the 1 st week top seller. All Scouts who reach their sales goal get to throw whipped cream pies in the leaders faces. A pizza party for the top selling Den or Patrol in early October. Have a prize drawing for all the boys who fill up a take order form. Monitor the sale each week and give awards as you go. 6
7 Unit Popcorn Kickoff Follow these 5 steps for a Successful Kickoff! 1) Preview this year s Scouting Program and explain to the families how the entire program can be funded with one fundraiser; the Trail s End Popcorn Sale. Hand out a Parent Popcorn Fact Sheet to each family 2) Communicate the Per Scout Sale Goals; have the boys write their goals on the Take Order Forms. Explain the sales methods to be used for reaching the sales goals and have the families write in the dates for the blitz days. 3) Show the Youth Popcorn Sale Training Clips available online at 4) Have actual prizes on display to show the Scouts what they can earn for selling popcorn. 5) Review the Trail s End $2,500 Scholarship Program. 6) Award prizes to the: i. Top Seller ii. Top Selling Den/Patrol iii. Scouts who reach their Personal Sales Goal 7) Do a skit or fun activity to get the boys trained and excited about the sale, and to teach them about Safety when selling. Follow the Unit Kick-off agenda format (see sample). 7

Discuss sale timetable and distribute handout with key dates and contacts - Start/finish - Super Saturdays (one turn-in) Blitz Days - Review order form - Product delivery dates 5. Prizes - Recognize Scouts who sold last year - Unit prizes Council prizes Popcorn prizes individual Scout accounts 6. The Take Order Form - Distribute and explain Popcorn and Battery forms - Sales goal fill up a sheet (30 lines) 7. How to Sell - Wear uniform - Do s and don ts - Technique describe the three different methods: 1. Show & Sell (in neighborhoods) 2. Take order (in neighborhoods) 3. Store front 8. Discuss Safety Rules/Suggestions - Do s and don ts 9. Closing Reminders - Sales goal for Unit. Set a goal for each Scout & tell them what they get when they achieve it. - Recap start and end dates - Super Saturday Blitz Days & incentives - Earn cool prizes and $ for Scout account 8
9 Describe SHOW & Sell The Family Preferred Method of Selling What is Show & Sell? Selling door-to-door with the take order form & product in-hand NOT setting up a booth outside of a store if possible Allows Scouts to make the sale, deliver product & collect the money immediately all in 1 visit No more multiple visits to the same house to complete the sale Scouts can gain additional sales from the same customers Why do Show & Sell? A Scout can sell 4X as much using Show & Sell vs. standing in front of a store! Customers spend more at home ($25.00) vs. storefront ($10.00) and say yes most every time Save Time & Reduce the Cost of your son s Scouting program Most productive use of a family s valuable time Spend more time selling and less time delivering & collecting How much Product should each Unit Order? Units are encouraged to Order 40-50% of the previous year s sale Any remaining product can be used for Take Order Sale. (Check with council office for details) Remember! Units cannot return popcorn! How to do Show & Sell? Parents bring minivans, SUV s, trucks, & cars loaded with a variety of popcorn products On average, 4 boys are assigned to two parents/adults in each vehicle Boys & parents blanket neighborhoods with 2 boys on each side of the street stopping at each house while the parent is observing from the vehicle Review the safety information provided in the sales materials. Keep in mind; Show & Sell can be done by Packs, Dens, Troops, Patrols or individual families. 9
10 What is Fill-it-Up? Definitions: 1. Fill It UP means one filled up form per Scout, which must be turned in to your Unit Popcorn Kernel, who then will forward a copy to the Council Service Center. Once received at the Council office, this form is officially considered in. We cannot be responsible for any form that is delayed or lost. 2. Filled Up means each line (all 30 of them) is filled in to include a different buyer s name and address, TOTALING AT LEAST $ If you reach $600 and have not filled up all lines on the sheet you will also qualify for the PRIZES. 4. No combining of other Scout s Take Order Forms to fill up individual sheets. To qualify, all Fill it Up forms must be approved by the Council office. (Please, no short cuts on this form) 10
11 How to do a One Day Blitz for your Unit Just what is the One Day Blitz? It is an organized way to increase your popcorn sale while making it go faster than ever before! Here is why it works: The average boy will spend around two hours selling popcorn during his sale time, even if the sale lasts for two months. With a One Day Blitz, he will spend about 6 hours selling, thus he will generate 3 times what he would usually do during the sale. That means your Scouts and Unit can generate 2 to 3 times the sales compared to what they have done in the past! Here is what you do: Plan to sell Popcorn on a coordinated day in September and/or October. These days should be 100% devoted to having fun & selling popcorn. Promote, promote, promote! Talk it up at your Unit Popcorn Kick Off! Have all the boys and available parents show up on your Blitz Day. Give everyone in attendance a refresher course on how to sell popcorn through the take order sales method. Scouts will have chances to win cool prizes along with learning how to make more popcorn sales. After the refresher course, the Scouts will be sent out into their local communities and neighborhoods to sell popcorn. Remind Scouts about the prizes they can earn along with the goals they should be shooting for. Have the Scouts out canvassing the neighborhoods for the next 4-6 hours. After the sale, instruct the boys to come back to a special pre-determined meeting place, and tally up everyone s totals. Make their turn-in location FUN! Plan to give away a Grand Prize for the biggest seller and have other prizes (like-$20.00 gift card to Wal-Mart), for anyone selling over $ Be creative! You will find that most boys can sell over $ in one coordinated day of selling, and that is equal to approximately $10, in total unit sales with 20 boys selling!!! Many units report doubling and tripling their usual popcorn sale because of the One Day Blitz sale! 11

You can set up a display at the mall, place of worship, library, or other high traffic areas. Left over popcorn product can be used to fill orders from your take order sale. Your take order will be ordered by the container! However, Show and Sell is ordered by the case. 2. How much should we order? Most units order 25-35% of what they sold in microwave products in the previous year s sale. 3. If you do Show and Sell you also need to be sure you are also doing the Take Order Sale. 4.
