1 Jb Descriptin POST: Office Manager & PA t Executive Principal RESPONSIBLE TO: Executive Principal RESPONSIBLE FOR: Supervisin f ffice-based staff SALARY: 22,212-25,440 Pr Rata per annum (SCP 25-29) + Lcal Gvernment Pensin Scheme LOCATION: Oasis Academy Marksbury Rad & Oasis Academy Cnnaught, Bristl WORKING PATTERN: 37 hurs per week, 40 weeks per year (Term time nly + 1 week) Hurs t be wrked flexibly t include sme evening wrk DISCLOSURE LEVEL: Enhanced JOB PURPOSE: T rganise and supervise the effective prvisin f administrative supprt services t the Academy and ensure that all wrk is undertaken in accrdance with Academy Plicies. T act as PA t the Executive Principal. AREAS OF ACCOUNTABILITY: Delivery f a mutually agreed set f Key Perfrmance Indicatrs, set annually in cnsultatin with the Executive Principal. Efficient administratin f Schls Management Infrmatin System (SMIS). Supervisin and c-rdinatin f the ffice team. Effective supprt f Executive Principal. Timely cmpletin and dispatch f statistical infrmatin. Timely cmpletin and strage f persnal infrmatin in accrdance with the Data Prtectin Act and Safeguarding. SPECIFIC RESPONSIBILITIES: A. Office Management: T supervise and wrk as part f the Academy s administrative, secretarial, finance, receptin and clerical supprt team, ensuring duties are cmpleted apprpriately. T maintain an versight f the Academy s admissins prcesses and prcedures, ensuring its accuracy T ensure the Schl Management Infrmatin System (SMIS), is accurate and up t date. T becme the Academy champin fr all matters relating t SMIS ensuring delegated duties and prvisin f training as required. T liaise with the IT technician and versee the use f ffice technlgy and cmmunicatins systems in the administrative functin. T ensure the timely transfer f data between the Academy, Lcal Authrity and Oasis Cmmunity Learning, as required peridically, recnciling any queries. T ensure the prvisin f an efficient and effective receptin service t the Academy and that the apprpriate image/eths f inclusin and welcme is prjected at all times. Liaise with Schl Health Service and ther agencies in relatin t pupil welfare, as required. Ensure administrative supprt is ffered t staff in successfully rganising schl trips, as apprpriate. B. Administratin Duties: T be respnsible fr ensuring that all general ffice rutines/services are prvided efficiently and effectively e.g.: pstal services, bth in and ut f the Academy filing telephne, & visitr enquiries/message taking and referral

2 diary management rdering ffice statinery/supplies, as required cllectin and recnciliatin f schl mnies and prcesses related t schl meals, milk in schls etc cntacts with utside suppliers f gds r services, receipting f gds and invice prcessing T ensure the develpment and use f apprpriate huse style frmats and standards, and ensure adequate recrd/filing and back-up systems are available. T c-rdinate the prvisin f statistical infrmatin e.g. cmpletin f the Annual attendance return, in supprt f the Academy, Gvernrs and/r the Leadership Team. T administer prvisin f Free Schl Meals ensuring statutry returns are cmpleted in an accurate and timely fashin t DfES, Lcal Authrity, and thers wh may require infrmatin frm time t time. C. Prvisin f Secretarial Supprt: T be respnsible fr ensuring that all ffice/secretarial services fr the Academy and designated members f the Leadership Team, are prvided efficiently and effectively and in a timely manner. T supprt the wrk f and act as secretary and rganiser f the Academy Cuncil meetings. These will take place n average every six weeks. T include ensuring adequate safeguarding checks are undertaken f members. T prvide secretarial services: C-rdinating the Executive Principal s diary appintments, meetings, key schl dates etc. Distributing/respnding t/recrding the Executive Principal s mail Overseeing the Academy calendar, ensuring it is kept up t date and circulated t staff and thers as necessary. Ensuring timely reminders are sent t all staff and Cuncil members in advance f events, meetings, etc. Researching and/r managing prjects that may be identified frm time t time by the Executive Principal r Leadership Team Maintaining the Executive Principal s filing system Organising travel and vernight accmmdatin arrangements, as required Prducing dcuments, briefing papers, reprts and presentatins. D. Human Resurces: T assist the Executive Principal with cnfidential Human Resurces related matters cncerning: Maintenance f the Single Central Recrd, ensuring accuracy at all times, inclusive f staff, Academy Cuncil etc. Maintain enhanced disclsure and ther checks fr Staff, Cntractrs and Vlunteers the recruitment f Academy staff, as required Administratin f emplyment recrds and emplyment cntracts frm itrent HR system Ensuring First Aid and ther H&S training prvisin is undertaken, as required Ensure Supply cver fr absent staff is rganised in a timely fashin Prviding supprt at cnfidential meetings, t include taking minutes. E. Cmmunicatins: T supprt in c-rdinating the prductin f necessary external publicity (Academy prspectuses, brchures, etc), wrking with apprpriate members f leadership r teaching staff t ensure that these are prepared n time, t budget and with adequate stcks held. T ensure supprt is prvided t c-rdinate the prductin f Academy Newsletters. F. Other: T ensure gd emplyee relatins and safe wrking practices are adhered t, and prmting and safeguarding the welfare f children and yung peple in the Academy. T attend and supprt ut f hurs meetings and events in the evenings attended by parents. T participate in the Schl s Perfrmance and Prfessinal Develpment Prcess. T ensure all tasks are carried ut with due regard t Health and Safety. Undertake any ther duties as cmmensurate with the grade in rder t ensure the smth running f the Academy.

3 G. Safeguarding children and yung peple Oasis is cmmitted t safeguarding and prmting the welfare f children and yung peple. We expect all staff t share this cmmitment and t underg apprpriate checks, including an enhanced DBS check.
