2 SERVICE VISIT GENERAL PROCEDURES The standardized routine below is to be followed to help ensure we are providing consistent service to Office Depot and completing all service tasks as assigned. Even though specific service tasks will vary from visit to visit, there is a specific flow to your service call and you are expeceted to follow it on every visit. 1. Sign into Apollo s IVR Phone System and then sign into the Store Vendor Log Book (if available). 2. Request a member of Office Depot store management to sign you into GMillenia on the store kiosk so you can print the Call Report and Cycle Service Packet. At this time, ask if they have any store specific priorities you need to address and if any POG needed for the service call are not available, then print a copy from the store s kiosk. 3. Complete your service tasks in the priority they are listed. 4. Ensure all displays are set according to the POG and note any deviations to discuss later with store management. 5. Use the Call Report to note any displays that are missing or damaged. 6. Service Furniture POP per the instructions in the Office Depot POP Service Manual. 7. Ensure that all items are anchored correctly. 8. Make any necessary display repairs and order replacement parts when needed. 9. Clean all furniture and vacuum the furniture pad. 10. Using the Office Depot kiosk, report all SKU exceptions from your call report and print a copy for store management. 11. Using the Office Depot kiosk, complete the POG deviations survey. 12. Review with store management the service tasks you completed by walking the furniture pad and providing them a printed copy of your completed SKU exceptions. 13. Sign out of Store Vendor Log Book (if available) and sign out of IMPACT s IVR Phone System. REFERENCE NOTES PACKET A history of service notes will now be kept in a packet named Office Depot Reference Notes. Please refer to this packet for any past service notes that you need to refer back to. This packet is posted on the kiosk along with your other service materials. CARB COMPLIANCE ON-GOING STICKERING CALIFORNIA ONLY If you service a store in the state of California, you must ensure each and every cycle that all displays that fall under the Carb Compliance program are stickered correctly. Please refer to the Carb Compliance instructions posted with your other service materials. If you need additional stickers, please ask the store to print them for you. You may not leave the store if any displays that require it are NOT stickered. OFFICE DEPOT SERVICE PACKET CYCLE 23 (NOV 3 RD NOV 16 TH ) PAGE 2
3 PRIORITY #1 SHOAL CREEK DESK SURVEY (SKU ) Shoal Creek Desk displays SKU will need to be checked for warping. STEP #1 Locate SKU Shoal Creek Desk display - This SKU is only in POGs 6412 and STEP #2 Place a straight edge on the top of the desk (see below) STEP #3 If a gap is observed, answer Yes to survey question 2 If a gap is not observed, answer No to survey question 2 PRIORITY #2 LATERAL FILE SIGN KIT (SKU ) As a review from past cycles, please ensure to follow the instructions below to ensure that the old file SKU is removed (SKU ) and the new file is put in its place (SKU ). STEP #1 This Cycle there is a Planogram change in file cabinets. The black lateral file, SKU is being deleted and replaced with a new SKU The 2 file cabinets look very similar but are made by different vendors and have some internal differences. It is important to ensure the correct file cabinet, new SKU is on display with the correct TAT s and the deleted file cabinet is removed from the file cabinet area. The new SKU is listed in these POGS - 605, 606, 607, 609, 687, 687S, 2543, and 2552 File Cabinet SKU arrive; by 8/16. They should have a dayglow sticker on the box stating it is for display purposes. 4 PRIORITY #2 LATERAL FILE SIGN KIT (SKU ), CON T There are 2 ways to determine if you have the correct File Cabinet SKU on display 1. The lock on the front of the cabinet should have a code that starts with W6 2. On the back of the file cabinet towards the top there should be a series of holes W6 CODE ON LOCK HOLES ON BACK STEP #2: A Visual Merchandising Approved Sign Kit will arrive in all stores displaying SKU # on 10/07/13 with a green label on the box describing the contents listed below: SKU DESCRIPTION NOTES IN " x 16" x 7.5" Take One Box (1 per store) ADD TO POGS 605, 606, 607, 609, 687, 687S, 2543, 2552 IN " x 11" Take One Brochure (50 per store) ADD TO POGS 605, 606, 607, 609, 687, 687S, 2543, 2552 Apollo will be responsible for the following steps: 1. Ensure lateral file SKU # is on display 2. Ensure the sign kit is on display with the lateral file as shown in the photos below Assemble the Take One Box included in the sign kit. Insert Take One brochures into holder in the center of the display box(see below). Place Take One Box with brochures on top of Item No : Also note it should be recessed so the lip of the box doesn't hang past the front of the file cabinet. The box has magnets on the bottom of it so it shouldn't move much once set. It is important to be recessed because the lip is only cardboard and can get easily damaged by ladders or carts going by. 5 PRIORITY #3 FURNITURE DISPLAY MARKDOWN (SKU ) Office Depot will be introducing new desks in Q4. In order to make space for the new desks, stores will need to manually markdown displays for Smart Center SKU , which is part of the Palladia Collection included in POG #6952A. The markdown percentage will be determined by the store based on the overall condition of the display. Please work with Store Management to ensure this item has mark down signage. Store Markdown Procedure: Remove furniture pricing sheet and other plexi signage on discontinued furniture plexi holder. Manually markdown furniture using Clearance Price Tags as instructed in Sign Kit #9074 Furniture Floor Sample Sign Kit. This will need to be completed in the following stores: 17, 30, 46, 47, 48, 55, 67, 68, 87, 88, 89, 122, 134, 135, 141, 149, 162, 237, 249, 279, 282, 283, 295, 305, 307, 317, 321, 322, 329, 331, 338, 348, 358, 362, 364, 368, 374, 384, 388, 389, 395, 397, 414, 415, 416, 419, 422, 424, 433, 435, 437, 439, 444, 445, 447, 448, 456, 460, 461, 462, 481, 490, 493, 494, 514, 521, 524, 534, 536, 570, 581, 582, 583, 585, 593, 607, 616, 629, 647, 651, 693, 896, 926, 935, 941, 945, 946, 948, 960, 961, 969, 973, 985, 988, 2002, 2106, 2286, 2713, 2746 REMINDER: APOLLO IN-HOME ASSEMBLY POP On each service call you must ensure that the Apollo In-Home Assembly POP is set up and the Plexiglas pocket is full of Take-Aways. If the Take-Aways are empty, please fill them. If there is no replacement Take- Aways, please ask the store to print up temporary Take-Aways and to order replacements. Please ensure that there are 3 Plexiglas holders placed on the furniture pad. 1) On the Dawson collection, 2) on the Broadstreet Desk, and 3) near the furniture kiosk. If any of the 3 Plexiglas holders are missing, please ask Store Management for a replacement holder and to print up the needed POP and inserts.
