1 EXECUTIVE OFFICER Preamble is a not-for-profit membership organisation that nurtures, supports and grows community foundations across Australia. Community foundations are: Independent, place-based, community-owned philanthropic vehicles = raising funds from a specific geographic location, to give back to that community in the form of grants. Local people giving time, skills and money for public benefit = local assets for local community benefit There are at least 36 community foundations in Australia, which have collectively given over $100 million in grants to not-for-profits and charities in their communities. POSITION DESCRIPTION 1. Main Purpose The Executive Officer is responsible for the provision of professional administrative/ executive support to the Board and Community Foundations (as required). The Executive Officer leads the day-to-day operations of the and together with the Board of Directors ensures that the vision, mission and values are upheld and objectives and goals of the organisation are achieved. 2. Tenure Permanent Part Time employee or contractual basis negotiable 3. Hours of Employment 24 hours per week 4. Probationary Period Three (3) months 5. Salary: Will be negotiated dependent upon experience 1

2 6. Reporting/Working Relationships Internal The Executive Officer reports to the Chair of. The Executive Officer will work closely with Directors and any Advisory Committees as required. External The Executive Officer will build effective relationships with Community Foundations, key bodies, government, community groups, sponsors, recipients, donors, other philanthropic bodies and businesses relevant to the sector. 7. Special Conditions Travel Travel may be required including occasional overnight absences It is essential to possess a current Class 1 Drivers License and willingness to drive. Access to a private motor vehicle will be required and a mileage allowance will be paid at an agreed rate. Out of hours Some evening and weekend duty will be required from time to time. Location The office is in the Melbourne CBD. The Board is willing to negotiate with the appointee regarding flexible work arrangements Performance targets A new appointee will be subject to 3 months satisfactory probation Ongoing employees will be required to undertake an annual performance review with the Chairman and a Director. POSITION OBJECTIVES The Executive Officer is responsible for the day-to-day operations of Australian Community Philanthropy and provides professional administrative / executive support to the Board, community foundations and advisory committees. This is achieved by: Building relationships with community foundations, donors, applicants, recipients, key bodies, government, community groups, sponsors, other philanthropic bodies and businesses; Increasing s reach by increasing membership base and by coordinating and initiating promotional activities; Showing operational excellence through professional corporate governance, financial management and administration practices; and Sharing and community foundation stories by coordinating and initiating marketing and communication activities.

3 Build Relationships Build and maintain effective relationships with Directors and sub committees Build and maintain effective relationships and partnerships with Community Foundations, donors, sponsors, applicants, key regional bodies, community groups, other philanthropic bodies, businesses and government Participate in the Community Foundation network and other networks as appropriate Apply for grants from other bodies as appropriate Increasing Reach Grow the membership base by working with the Board to increase awareness of the benefits of membership with ACP Organise and coordinate the annual Community Foundations Forum in conjunction with partnership bodies as required Develop corporate support for Communicate the different ways that can provide support to Community Foundations Provide support to community foundations as required Operational Excellence - Corporate Governance, Financial Management and Administration In conjunction with the Board, implement the Strategic Plan for ACP: Develop and maintain an accurate database of community foundations within Australia Develop and apply the annual budget in consultation with the Board Undertake banking, accounts payable, accounts receivable, receipting and petty cash Ensure accurate financial records are maintained for ACP Administer and acquit project funds and grants such as required Prepare and distribute an annual sponsorship proposal for to businesses. Provide support to the Board of Directors and sub committees including preparing agendas, policies, reports, minutes and general correspondence Ensure activities meet Tax Concession Charity status with correct ASIC and the ATO reporting requirements Attend Board and sub committee meetings and maintain an accurate and timely record of proceedings Ensure the integrity and confidentiality of all documentation Ensure all activities comply with the Constitution, Board policies and relevant legislation 3

4 Marketing and Communication Assist the board to implement the Marketing and Communications Plan Produce media releases and newsletters Ensure the website is relevant and current Prepare 's Annual Report and other reports as required and distribute to key stakeholders KEY SELECTION CRITERIA Essential Minimum Requirements (Those characteristics considered absolutely necessary). Personal abilities, aptitudes & skills A passion for community development and the growth of community philanthropy Proven ability to gain the trust of the community and to maintain confidentiality Highly developed relationship building skills, including the ability to establish sound relationships with the community bodies, Directors, regional organisations, government, corporate supporters and other philanthropic bodies Demonstrated ability to establish and maintain effective corporate governance, financial management and / or administration processes An ability to convey 's message to a wide audience through traditional and social media Well developed comprehension and communication skills both oral and written including a demonstrated ability to prepare correspondence, newsletters and reports to a high standard Flexibility to perform a wide variety of tasks and strong multitasking skills to effectively manage competing priorities Strong work ethic Accuracy and attention to detail Willingness to show initiative Experience (Either in a paid or voluntary capacity) Experience with meeting procedures including preparing agendas, minutes, policies and reports Experience of working with a Board or a Committee Experience of working with volunteers Desirable Characteristics (To distinguish between applicants who have met all essential requirements) Personal abilities, aptitudes & skills An ability to apply professional business principles and practices to a charitable organisation An ability to think creatively and be innovative
